JOB DESCRIPTION

 

TITLE: Staffing Coordinator, Nursing

DEPT: Nursing Administration

 

Grade:  NEX 7

JOB CODE: 03082

 

SCOPE OF POSITION:

Perform diversified clerical and administrative duties to coordinate the staffing and timekeeping functions for Inpatient Units: Med- Surg (including Float Pool), Critical Care, Emergency Department and Behavioral Health.  . Duties include answering phones; preparing schedules; data entry; and other similar duties pertaining to filling staffing needs on the nursing floors. Reports to the Staffing Officer.

 

·         RESPONSIBILITIES:

·         Monitor daily staffing requirements and needs to fill absences. Receive daily reports from Administrative Supervisors regarding staffing needs. Places calls to staff in order to fill gaps in shift schedules. Notify appropriate Assistant Director if unable to obtain needed staff replacements.

  • Review future schedules to determine staffing needs and potential gaps in staff coverage. Make phone calls to obtain sufficient staff to fill schedules.

·         Enter staffing changes into the ANSOS system. Update schedules for peer switches as completed forms are turned in. Monitor call in line for RN's cancelling shifts and obtain required replacements

·         Operational knowledge of ANSOS data base to assist in entering staff requests and schedule templates

  • Print staffing sheets and distribute to appropriate unit management. Call each unit to inform them of staff who are working each shift.
  • Provide an effective liaison with Assistant Directors and other floor management to ensure a smooth flow of information and personnel.
  • Take requests from staff who want extra shifts or who need to cancel.

·         Develop and maintain the staffing system.  Responsible for revising; updating; determining and recommending system changes.  Take an active role in working with the management team to develop and implement new applications and system integration.

  • Act as system administrator. Develop and maintain the staffing databases. Update database with new hires, terminations, vacancies, etc. Ensure schedules are accurate and timely. Suggest system and/or process improvements and upgrades.

·         Utilize the report writing feature of the system to develop new reports to ensure management has all required information for the department. Develop reports and effectively manage information for staffing and scheduling, statistical and/or financial data as it relates to the provision of nursing services.

  • Develop staffing schedules to cover current nursing requirements. Project nursing requirements for all nursing floors and develop schedule patterns for nursing personnel. Assign schedules to assistants to fill in nursing personnel to the schedules. Ensure all schedules are filled. Keep abreast of nursing requirements on all the units.
  • Responsible for ongoing education of staff for all nursing staffing system applications. Provide a liaison to the hospital as a pilot for the staffing system.
  • Regular communication with Assistant Directors of units to review requests for approval process
  • Maintains Everbridge System
  • Maintains phone contacts /data in Supervisor phone
  • Completes IS Access Request for all new employees/transfers
  • Updates and maintains timekeeping for nursing departments
  • Updates and maintains absence records for nursing directors
  • Maintains a variety of appropriate office processes ( maintains records and data) to facilitate efficient    
  • operations
  • Performs all other duties as assigned.

                                   

REQUIREMENTS:

  • High school education
  • 1-2 years experience in a general office setting with scheduling experience desired
  • At least 2 years recent experience in supporting nursing management with staffing
  • Database information system experience preferred.
  • Effective interpersonal skills
  • Ability to work well under pressure and meet deadlines
  • Ability to handle multiple priorities
  • Must exhibit excellent telephone etiquette and customer service
  • Must have basic computer skills and ability to access internet and other programs applicable to Waterbury Hospital procedures.
