What are the responsibilities and job description for the Administrative Assistant position at Watt Acquisition, LLC?
The Admin Assistant supports project management, organized documentation, coordination, and planning, and ensures smooth project communications from start to finish. The Project Coordinator works closely with various teams across the company including estimating, project managers, general foremen, and vendors.
As an Administrative Assistant, you will:
- Answer, screen, and transfer phone calls.
- Maintain office supplies inventory and coordinate maintenance for office equipment, including computers, printers, and telephones.
- Handle mail distribution, resolve returned mail issues, and manage office equipment.
- Retrieve information from records, emails, minutes, and other documents; prepare written data summaries as needed.
- Schedule courier deliveries and handle other mail and shipping requests, including certified letters and FedEx Overnight shipments.
- Keep the office directory up to date.
- Maintain storage logs, request and send boxes as needed.
- Respond to and resolve administrative inquiries and questions.
- Maintain organized filing systems, both electronic and physical.
- Provide administrative support to the Project Management Team.
- Assist the Project Management Team with permits and inspections.
- Fulfill Certificate of Insurance (COI) requests as needed.
- Assist other departments as required.
- Perform other duties as assigned.
- Oversee purchase requisitions, requests for quotes, purchase order creation, approvals, and tracking to maintain efficient procurement processes.
- Interact with suppliers, the project management team, and foremen regarding back orders, delivery errors, and delivery times.
Qualifications: Education, Experience, and Skills
- High school diploma or equivalent.
- Proficiency in Microsoft Office 365.
License/Certification
Preferred:
- Valid driver’s license.
- Bilingual proficiency in Spanish is highly preferred.
- Additional education, certifications, or training are a plus.
- Prior experience as an administrative assistant is a plus.
- Prior experience in construction is a plus.
