This position reports to the Chief Information Officer. The position provides the administrative support necessary to carry out the Chief Information Officer's function for the college. The position must exercise initiative, creativity, discretion, and eye for details and professionalism in all areas of communication. The position requires proficiency in editing, proofreading and protecting sensitive information.
Responsibilities
Act as administrative specialist to the Chief Information Officer and IT Managers.
Maintain appointment calendar for the Chief Information Officer.
Maintain and monitor all records pertaining to the responsibilities of the Chief Information Officer.
Prepare and attend to correspondence and reports of both a regular and confidential nature.
Assist with travel documentation for Chief Information Officer, managerial and departmental staff.
Attend departmental meetings, record, and circulate minutes of meetings.
Process attendance forms. Maintain the departmental leave calendar.
Approve managerial leave reports in attendance system. Verify approval of staff leave reports / time sheets for CIO's final approval.
Maintain departmental supplies, processing order requests as needed.
Plan and manage details related to the setup, scheduling, catering, and supplies for college community meetings sponsored by the Information Technology department.
Manage the job postings for IT positions.
Prepare materials for IT staff search committees.
Write, design, and distribute an internal IT Department newsletter.
Write, design, and distribute a quarterly Cybersecurity newsletter along with the Information Security team.
Prepare Board of Trustees purchasing request documents for the IT Department.
Perform other duties as assigned.
Minimum Qualifications
High school diploma or equivalent required. Associate's degree or additional administrative training and / or coursework preferred.
Three years related administrative experience required including experience with Windows, MS Word and Excel, electronic mail and electronic calendar programs required.
Ability to type 45 WPM.
Excellent communication, organizational and human relations skills.
Ability to work independently and maintain confidentiality.
