Position Summary
The purpose of the Intern Human Resources and Risk Management position is to provide a currently enrolled college student, in the field of Human Resources, Risk Management, or a business-related study, the opportunity to gain experience in hiring processes, safety practices, and financial operations in a local government environment. Human Resource Information System (HRIS) and safety inspection reporting applications will be used. This position is required to adhere to all Waukegan Park District (District) policies and procedures.
Essential Functions
- Collaborates in reviewing, processing and onboarding of potential candidates on an HRIS platform.
- Supports employees in activating and managing the Employee Self-Service (ESS) portal.
- Maintains candidates' hiring files in an electronic format.
- Creates and maintains employees' personnel files in an electronic format.
- Conducts on-site safety inspections of facilities and park amenities and documents the findings in an inspection application.
- Reviews agreements and corresponding insurance certificates to ensure documents are complete and accurate.
- Assists supervisor in identifying and correcting deficiencies in agreements and insurance certificates.
- Assists in accident report processing.
- Assists in preparing for and participating in special events.
- Assists in Human Resources administration, orientations and training.
- Assists in setting up and maintaining electronic personnel files for newly hired and rehired employees.
- Inspects the Administrative Center’s Automated External Defibrillator (AED) regularly and records findings on a web-based inspection application.
- Performs other duties and responsibilities assigned by the supervisor to support the Finance and Operations Department or the District.
Qualifications
Education
- Minimum of one (1) completed year in a college or university program in Human Resources, Risk Management, or other business-related studies and enrolled for the upcoming fall session
Experience
- Microsoft Office experience required, specifically in Excel/Word/Outlook
Knowledge, Skills and Abilities
- Manages own time with minimal direction
- Confident, articulate, and professional verbal and written abilities
- Communicates effectively with employees through listening, speaking, writing, and non-verbal cues
- Develops positive rapport with interpersonal departments, public, vendors and community groups
- Adjusts priorities based on work environment
- Reads, writes and communicates information such as, but not limited to, safety rules, operating and maintenance instructions, procedure manuals, and correspondence
- Ability to perform basic mathematical calculations. Compute rate, ratio and percentage
- Identifies problems or challenges and develops and implements solutions
- Available to occasionally work weekends for special events
License/Certification
- Valid driver’s license preferred
