Description
Rock River Intermediate School is currently seeking a School Secretary for the 2025-26 School Year. This position provides services for students, parents, staff, and administrators that will facilitate the efficiency and public relations of the school and District. This is an 8 hour/day (7:30 a.m.-4:00 p.m.), 12-month clerical position.
The Waupun Area School District is a 4K-12 school district serving a population of 1900 students in South Central Wisconsin. Located conveniently on Hwy 151, Waupun is only 45 minutes north of Madison and 20 minutes south of Fond du Lac. WASD is home to four schools, including a charter school in Fox Lake.

PERFORMANCE RESPONSIBILITIES

- Bussing Coordinator
- Welcome and screen visitors at the school
- Collect and maintain student fees, petty cash, and any other money that comes into the office
- Prepare principal correspondences
- Prepare materials for student and staff handbooks
- Assist in registration for new school year
- Enroll new students; creates and maintain student files
- Request and send student records as needed
- Compile various reports (weekly attendance, progress, ineligibility, report cards, honor roll lists, perfect attendance)
- Maintain attendance for third Friday count and year-end reporting
- Assist with scheduling parent/teacher conferences
- Enter class lists into IC
- Receive and route incoming calls and records accurate messages for follow-up
- Distribute daily mail and prepare bulk mailings
- Coordinate and administer first aid and medications; contact parent(s) when illness or injury occurs in nurse’s absence.
- Schedule student school pictures
- Create and type school’s newspaper
- Update and maintain school’s page on website and/or Facebook
- Periodically enter staff absences into Frontline; coordinates substitutes or coverage from staff
- Assist in the coordination and organization of the district summer school program
- Order supplies; track income/spending for multiple accounts
- Schedule bussing for field trips, students going to clubs/activities in district
- Distribute keys/FOBS
- Schedule building rental/usage
- Perform other duties as assigned and assist other administrative assistant with office duties

Qualifications
- High school diploma/GED
- Knowledge of school operations (schedules, activities, records, and student needs/programs)
- Ability to establish and maintain positive rapport and communication with staff, students, parents, and the community
- Proficient in Google, Infinite Campus, and Microsoft Suite
- Ability to use office equipment and technology and be a resource to staff on use
- Clerical skills including typing, filing, and duplicating
- Experience in handling confidential matters
- Maintain emotional control under stress; work with frequent interruptions
- Excellent written and verbal skills with a professional demeanor
- Attention to details and ability to prioritize
- Organizational skills
- Ability to problem-solve
- Adept in continuous improvement and customer service
