What are the responsibilities and job description for the Administrative Assistant/6-12 Athletic Director Assistant position at Wautoma Area School District?
SUMMARY: A fast-paced part-time position, the High School Administrative Assistant and 6-12 Athletic Director Assistant plays a vital role in the day-to-day operation of the school and the District as a whole. The position will be 220 days with hours, Monday-Friday.
ESSENTIAL DUITES AND RESPONSIBILITIES include the following but are not limited to:
- Manage public calendar of events.
- Input Events including practices, Event Workers, Transportation, Concession Groups for Events.
- Create Athletic Event Programs for Volleyball, Football, Boys Basketball, Girls Basketball, Wrestling, Invites and WIAA Banquets.
- Input, maintain, and update athletic rosters in I/C, rSchool, and programs.
- Input Awards, Forms, & Fees.
- Communicate with High School Staff regarding Homecoming Program and Program Covers.
- Update Athletic Paperwork Files.
- Run paperwork reports for coaches.
- Request and assign event workers throughout the school year.
- Assist with arranging transportation with dates, events and times.
- Update Athletic Awards in Infinite Campus.
- Input students into extracurricular schedules. (Rosters due a week prior to practice beginning.)
- Monitor and distribute letters and bars for athletic banquet (Monitor Inventory).
- Communicate with Booster Club regarding athletic banquet slips and RSVPs
- Prepare for Athletic Banquet: get slips to players, coaches, bus drivers, collect completed slips, create document, collect money, and make program.
- Prepare money for ticket sales at extracurricular events.
- Do bank deposits of Athletic Income; log on Athletic Income Tracker Document.
- Monitor and Report Athletic Eligibility to Athletic Director, Coaches and Administration.
- Pull Academic Grades & Work and People Skills, End of each semester - Credit Minimums, Code Violations - Run Report.
- Run Face Summary Pages for Coaches.
- Assign student fees for athletics on Infinite Campus for Online Registration.
- Send Infinite Campus Reminders to Parents about Upcoming Events.
- Assist with Parent and Senior Nights.
- Post Semester Grades to Transcripts.
- Prepare a Master Schedule with counselors.
- Update any grades listed as incomplete.
- Update teacher, district assignments on Infinite Campus.
- Check for students not listed in class rank.
- Complete Second Semester Master Schedule Spreadsheet.
- Begin Master Schedule in January of each year.
- Complete Master Schedule spreadsheet for staff.
- Prepare all documents for graduation.
- Manage entry and withdrawal information.
- Check for and order Senior Honor Cords (3.5 or Better)
- Manage all SCN & ECCP Requests.
- Post Semester Grades to Transcripts.
- Post Transcripts, Complete Graduation Tab & Print Transcripts.
- Add counselors to new students and freshmen.
- Check for students not listed in class rank.
- Coordinate college representative visits and military visits.
- Prepare Quarterly Data Reports for School Board.
- Verify names for graduating seniors.
- Print credit summaries and schedules for the first day.
- Enter Student Non-Athletic Activities and Awards into Infinite Campus
- Manage summer school enrollment and completion, including enrollment, lunch and grades.
- Enter ACT retake scores in the assessment tab of IC.
- ACP Coordination and Planning (6th-12th Grades)
- Other Duties Assigned at Administrative Discretion
QUALIFICATIONS
- Must enjoy working with children at various stages of development and in a school atmosphere
- Commitment to high standards and ethics, and ability to maintain confidentiality.
- Ability to work as a motivated team member, takes direction and constructive criticism, and follows rules and procedures.
- Demonstrated proficiency in general office skills (typing at 45 wpm minimum, knowledge of word processing [specifically Microsoft Word], database, and spreadsheet software [specifically Microsoft Excel] with excellent organizational and communication skills.
- Demonstrated proficiency in Google applications.
- Ability and willingness to learn and be proficient in District software programs (attend trainings/workshops as required), and office machines to include the school intercom and phone system.
- Pleasant personality and telephone etiquette, and ability to be remain flexible and calm under pressure.
- A general office skills test will be administered. The results may have considerable bearing upon the screening process.
- Satisfactory background report as covered by Wisconsin Statute 19.32(1).
- Physical Examination/TB Assessment as covered by Wisconsin Statute 118.25.
- Valid Wisconsin Driver’s License.
EDUCATION AND EXPERIENCE
- High School diploma or equivalent.
- Minimum two (2) years office experience.
