Description
The Project Coordinator is responsible for organizing and leading key processes and projects for the Global Medical Affairs organization within Wave Life Sciences. The Project Coordinator should be a highly motivated individual capable of working independently and facilitating discussions with senior leadership and staff. The ideal candidate will be detail-oriented, will enjoy working with computerized systems, and will think logically about improving workflow processes.

Responsibilities
- Operationalizes Wave’s Medical-Legal-Regulatory review process:
- Operationalizes Wave’s publication review and approval process:
- Assists with congress planning
- Manages critical databases (e.g., Veeva Med Comms vault, publication project management database, internal Sharepoint).
- Supports grants and sponsorship activity, contracting, and vendor onboarding activities by coordinating with Legal for review of CDA’s and contracts, and coordinating with Finance to execute purchase orders and contracts, for Medical Affairs and Patient Advocacy.
- Liaises with various functions (e.g., Patient Advocacy, Medical Communications, Medical Affairs) to assess materials that require review.
- Sets meeting agendas
- Facilitates discussion of materials with senior leadership, including Wave executives.
- Manages review and approval of nonpromotional materials through the Veeva Med Comms vault.
- Documents required changes and checks revised materials to ensure all changes have been incorporated.
- Ensures the process is conducted in compliance with the company’s SOP.
- Proactively identifies areas in which the process can be improved.
- Coordinates with Veeva representative to assess impact of vault updates and alert users to changes that impact their experience in vault.
- Delivers reports to enable resource planning and material review.
- Liases with Medical Communications and key stakeholders to manage timely publication review and approval in compliance with company policy.
- Manages publication projects via company’s project management database.
- Runs periodic reports to enable resource planning and material review.
- Maintains publication bibliographies, and ensures archiving of select publication materials
- Coordinates congress planning meetings, including meeting agenda, minutes, and leadership of specific project work streams.
- Provides operational and logistical support as needed to support Medical Communications and Patient Advocacy activities, including exhibit booth shipping, set up, and related activities.
