What are the responsibilities and job description for the Administrative Coordinator position at WAYNE COUNTY CHILDRENS ADVOCACY CENTER INC?
WAYNE COUNTY CHILDREN’S ADVOCACY CENTER, INC. (WCCAC) is an independent nonprofit organization seeking a full-time Administrative Coordinator. The WCCAC is a child-oriented facility, which serves as a centralized location for interviewing and examining children who are victims of sexual abuse and serious physical abuse. The children are interviewed by specially trained forensic interviewers in a child-friendly environment and the medical exams are performed by specially trained medical personnel. The cases are managed by a multidisciplinary task force comprised of those interviewers, county prosecutors, law enforcement officers, mental health workers, victim advocates, medical professionals, and clinical staff. Members of the task force team help the child and family cope with the abuse and begin the recovery process.
The Administrative Coordinator reports to the CAC Executive Director. This is an administrative position with responsibility for providing support to our children and families and Multidisciplinary Team (MDT) members at the CAC. In addition, the Administrative Coordinator is responsible for conducting general business operations and managing all office processes, procedures and systems related to CAC operations.
DUTIES AND RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:
1. Answer phones and open mail and direct to staff members as appropriate.
2. Assist with scheduling and coordination of CAC appointments, MDT, Staff and Board meetings.
3. Provide back up to the Case Manager for scheduling, database input, facilitating appointments and records custodian.
4. Conduct follow up family surveys after CAC appointments.
5. Maintain family and community resources in the family waiting room.
6. Maintain case records and input case information in the agency database.
7. Maintain agency calendar and due date triggers.
8. Ensure all areas of CAC are maintained and inventory supplies and needs.
9. Compose, update, copy, scan, fax, shred and file documents.
10. Facilitate a safe and secure environment.
11. Participate in supervision.
12. Participate in agency and community activities with funders as a representative of the agency.
13. Coordinate agency fundraisers.
14. Assist with marketing: social media, newsletters, information distribution.
15. Assist with community prevention training and CAC 101 trainings to MDT partners.
16. Build professional relationships with MDT partners and community funders.
17. Input financial data.
18. Perform other duties as requested.
PREFERRED QUALIFICATIONS:
1. Associate’s degree or High School Diploma, plus two years of professional experience related to administrative duties and data entry. Experience with Quickbooks preferred.
2. Working knowledge and experience with Microsoft products, typing and computers.
3. Working knowledge of financial management and Quickbooks.
4. Demonstrate strong organizational skills and time management.
5. Attention to detail and accuracy.
6. Excellent communication skills (verbal, written, and active listening).
7. Demonstrate initiative, problem-solving, and conflict-resolution skills.
8. Ability to work well independently and as part of a team.
9. Must uphold privacy and confidentiality.
10. Successful completion of a background check.
WORK HOURS/BENEFITS:
1. Monday-Friday 8-5 (flexibility) and after hours/weekend for special events
