Position Purpose:
The Program Coordinator will support the Merrill Palmer Skillman Institute (MPSI) faculty research and grants, programs (e.g., Early Childhood Center, MPSI Training Programs, Research Colloquia, Freer House), and daily operations of the Institute. The Program Coordinator will work closely with the Operations Coordinator and MPSI Director, as well as other program directors and MPSI Boards.
Essential Functions:
Post award and reporting for faculty grants. Includes spending and reconciling budgets in collaboration with PI, including re-budgets, and no cost extensions. Assistance with sub- awards and sub-contracts with PI and other WSU offices and external entities. All related grant hiring. Track grants and report on funding for Directors and for Annual Reports.
Purchasing, receiving, travel, and Procard purchases for faculty and staff including for the Early Childhood Center, Freer House Program, grants, and training programs. Process and reconcile invoices, payments, purchases, all travel expenses, supplies, and other costs and spending via WayneBuy, Concur, and Procard Systems.
Organize and implement research colloquia twice a month with local and national speakers including marketing (promotional flyers, calendars, email listservs, RSVPs), presenter materials (abstracts, handouts), and all aspects of presenter travel and honoraria, as part of the MPSI pre-doctoral training program. Assist with onboarding annual training fellows and processing stipends/travel for them and other assistance for trainees such as support for professional development series and printing research posters.
Process paperwork for hiring, change in labor distributions, promotions, and terminations of personnel including all MPSI personnel and Early Childhood Center personnel. Assist with (review, approve) employee time sheets. Provide Director with files for review and evaluation of faculty and staff at required university intervals, as well as coordinate with other faculty members’ academic units for shared reviews, promotion, and tenure processes.
Advance system review, reporting, and recognition of donations via thank you letters. Document and acknowledge donations to MPSI programs (e.g., scholarship fund, Giant Step Conference, Early Childhood Center, and Freer House). Manage Freer House membership database. Receipt processing, acknowledgement, and recording of donations and cross-checking with Development office reporting.
Organize, manage, and record minutes of regular meetings with faculty, staff, Institute retreats, program committees, Advisory Boards, Board of Visitors, and Freer House meetings to meet with strategic goal setting and program planning.
Performs other related duties as assigned.
Minimum Qualifications:
Education: Bachelor's degree
Bachelor’s degree from an accredited university in Business administration or related field.
Experience: Experienced (minimum 2 years of job-related experience).
Administrative experience working independently and with a cross functional team.
Knowledge, Skills, and Abilities:
Demonstrated experience in coordinating activities and events.
Excellent verbal and written communication skills.
Close attention to detail and the ability to plan ahead.
Ability to prioritize and complete tasks in a timely manner.
Knowledge of or willingness to learn WSU's budgeting processes (i.e., Banner and Cognos)
Knowledge of or willingness to learn WSU's purchasing system. (WayneBuy).
Dedication to fostering a collaborative team.
Willingness to learn new electronic systems and software applications that WSU or MPSI utilize.
Ability to work under time constraints to meet deadlines.
