Overview
We are seeking a highly organized and driven Project Coordinator to support the successful execution of our construction and fabrication projects. This position will act as a central hub for project scheduling, reporting, and coordination across departments. The ideal candidate has experience in schedule development, data tracking, and cross-functional communication. Working closely with Project Managers, Superintendents, Engineers, and Department Leads, the Project Coordinator ensures projects stay on track, on budget, and meet quality expectations.
Duties
- Qualifications:
- Minimum of 1 year of administrative, project coordination, or scheduling experience.
Responsibilities:
Project Scheduling & Coordination
- Develop and maintain master project schedules using Microsoft Project or equivalent tools.
- Create conceptual schedules for bidding and budgeting with limited data when required.
- Collaborate with Project Managers and Superintendents to finalize baseline schedules before project kickoff.
- Facilitate weekly updates of schedules, including five-week look-ahead timelines.
- Identify potential scheduling conflicts and assist in developing proactive solutions.
Reporting & Documentation
- Lead weekly Job Status and Expedite Report meetings by compiling schedule data, estimates, and department updates.
- Maintain and update department-specific Gantt charts (Engineering, Detailing, Machine Shop, Fab Shop, Field).
- Track and distribute updated shipping dates and required quality control documentation.
- Generate and maintain Rework Reports and Control Charts, working closely with department leads to monitor and reduce rework.
- Maintain Estimated vs. Actual Reports and track performance variances.
Project Administration & Support
- Track and release Bills of Material and drawings for construction after approval from Engineering and Detailing teams.
- Print, stamp, and distribute construction drawings; maintain logs for drawing revisions.
- Assist with preparation of performance reviews for Engineering, Detailing, and Project Management personnel.
- Support company policies and safety initiatives while helping leadership assess future equipment, training, and staffing needs.
- Execute subcontractor agreements and manage documentation for subcontractor onboarding.
- Assist in job financial projection setup (final review by Project Manager or Engineering Manager).
o Initiate quote/estimate setup and assist in quoting small parts or miscellaneous fabrication jobs.

- Strong proficiency in Microsoft Project or other scheduling/task management tools.
- Experience with Microsoft Office; AutoCAD knowledge is a plus.
