Job Summary

The JJAEP Administrative Clerk performs secretarial and administrative work for the JJAEP principal and staff. Duties involve organizing, coordinating, and managing a school office's clerical activities and communications; performing varied and responsible secretarial duties; serving as a clerk to the Principal and other school staff; providing specialized assistance and information to students, parents, faculty, and others. Work is performed with independence within established policies and procedures.

Major Duties

  • Performs non-routine and highly skilled secretarial work for JJAEP administrators.
  • Understand, interpret, apply, and explain State, District, County, and Building rules, regulations, policies, and procedures related to school operations, programs, and services.
  • Maintain the JJAEP school calendar and schedule.
  • Oversees establishing and maintaining office procedures, bookkeeping, and records-keeping systems.
  • Responsible for processing purchase orders and employee time records.
  • Handles requests for general information, complaints, and inquiries regarding JJAEP policies and procedures.
  • Accurately prepares state and district reports from raw data, which includes generating charts and graphs on the computer.
  • Schedule meetings, appointments, and conferences for the Principal as requested.
  • Order, receive, store, and maintain office supplies.
  • Enroll/Register students.
  • Provide first aid to ill and injured students, as necessary, with training.
  • Assures coordination of both verbal and written information to building employees.
  • Completes special projects as assigned. ? Coordinate classroom coverage as needed.
  • Coordinate student transportation with the student’s home district, parents, and transportation supervisors as needed.
  • Handle building finances and financial reporting relevant to JJAEP.
  • Performs any other duties as assigned.

  • Ability to communicate orally and in writing in the English language and orally in the Spanish language.
  • Must be proficient in the use of computers and Microsoft Software.
  • Must have experience in the use of office equipment.
  • Must have strong communication, computer, and interpersonal skills.
  • Must learn and utilize new software programs as systems are upgraded.
  • Must have excellent keyboarding skills and good grammatical spelling and punctuation.
  • Ability to establish and maintain effective working relationships with staff and the school community.
  • Ability to perform duties in full compliance with state requirements and Board policies.
  • Knowledge of county and departmental policies and procedures.
  • Skill in prioritizing and organizing work.
  • Must have strong communication, computer, and interpersonal skills.
  • Must have the ability to learn and utilize new software programs as systems are upgraded.
  • Must have excellent keyboarding skills and good grammatical spelling and punctuation.
  • Ability to apply current research and theory knowledge in a specific field.
  • Ability to speak clearly and concisely both in oral and written communication.
  • Ability to perform duties in full compliance with district requirements and Board policies.
  • Experience in organizing varied and involved projects.
  • Experience in working effectively with administrators and other staff personnel.
  • Experience with the operation of computers and software.

Minimum Qualifications

  • Must have a High School Diploma or GED from an accredited institution.
  • At least two (2) years of work experience in clerical functions.

Complexity/Scope of Work

  • The work consists of related clerical duties. Frequent interruptions contribute to the complexity of the position.
  • The purpose of this position is to provide clerical support for the department's operations. Successful performance contributes to the efficiency and effectiveness.

Physical Demands/Work Environment
Occasionally
  • Moving self in different positions to accomplish tasks in various environments, including tight and confined spaces.
  • Moving to accomplish tasks or moving from one worksite to another.
  • Adjusting or moving objects up to 5 pounds in all directions.
  • Operating machinery and/or power tools.
  • Driving a County vehicle or a personal vehicle for County business.
  • Working small and/or enclosed spaces.
  • Light work that includes carrying objects up to 20 pounds.

Constantly
  • Remaining in a stationary position, often standing or sitting for prolonged periods.
  • Communicating with others to exchange information.
  • Repeating motions that may include the use of wrists, hands, and/or fingers.
  • Assessing the accuracy, neatness, and thoroughness of the work assigned.
  • Sedentary work that primarily involves sitting/standing.

Other Requirements/Information
  • Drug and Alcohol Policy applies to this job. Pre-employment drug/alcohol testing, Motor Vehicle Record (MVR), and criminal background checks are required.
  • This position is not covered under Civil Service; however, all other Webb County policies apply.

Valid Texas Driver’s License*
  • If the applicant holds an out-of-state license, a State of Texas Driver’s License must be obtained prior to employment.
