Job Overview:
The Human Resources (HR) Receptionist serves as the first point of contact for the Human Resources Department, providing professional and courteous customer service to employees, applicants, and the public. This position performs a variety of clerical and administrative support duties to assist the HR team and ensure the smooth operation of the department.

Essential Job Functions:
- Greet and assist visitors to the HR department in a friendly and professional manner.
- Answer and direct incoming phone calls and emails to appropriate HR staff.
- Perform basic data entry and assist with HR systems or databases.
- Handle sensitive and confidential information with discretion and maintain strict confidentiality.
- Process and distribute incoming and outgoing mail.
- Sort and distribute interoffice mail. Ensure the accuracy of information/items sent between schools and district offices.
- Schedules and conducts fingerprinting and background checks for employees and volunteers.
- Assist with organizing and maintaining supplies for the fingerprinting terminal and badge station.
- Ensures identity verification, accuracy of entries into the computerized system and capture of fingerprints.
- Take employee photos for use on district ID badges.
- Collaborate with HR colleagues and other WSD departments to ensure smooth departmental operations.
- Assists other personnel for the purpose of supporting them in the completion of their onboarding process. Maintains a wide variety of files and records (manual/computer; confidential/non-confidential) (e.g. applicant files, billings, salary schedules, employee contracts, personnel directory, policy books, bookkeeping records, etc.) for the purpose of providing documentation in accordance with administrative and legal requirements.
- Prepares a wide variety of written materials (e.g. classified ads, reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Processes a wide variety of documents and materials (e.g. new and changing compensation information, unemployment claims, employment verification, state reports, etc.) for the purpose of disseminating information in compliance with program, district, state and/or federal requirements.
- Researches a wide variety of topics (e.g. current practices, policies, etc.) for the purpose of providing information for addressing a variety of administrative requirements.
- Responds to a wide variety of inquiries from internal and external parties (e.g. employees, Utah Retirement System, the Board, applicants, Insurance Opening Enrollment, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
Education and Experience:
- A high school diploma or equivalent.
- One (1) to two (2) years of related secretarial experience.
Working Conditions and Requirements:
- The job requires light physical exertion including walking, standing, and other forms of light physical activity.
- Attendance at work is essential. This position works in an office environment.
- Performs other duties and tasks as assigned by the supervisor.
- Must be willing to fingerprint applicants and employees.
- Accuracy and attention to detail is critical in every aspect of the job.
- Ability to provide outstanding customer service to employees in person and via phone.
- Ability to communicate effectively with others both verbally and in writing.
- Ability to operate computers, Google Suite, etc., as well as small office equipment, including copy machines or multi-line telephone systems.
