We are seeking an experienced Administrative Assistant to work in our Charleston, SC office. The ideal candidate will be the first point of contact for our firm, providing exceptional customer service and administrative support. This role requires excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Warmly greet and welcome visitors, ensuring a professional and inviting office environment
- Field inbound calls and route them to the appropriate internal parties
- Coordinate meeting and conference call arrangements, including coordination of rooms, technical resources and catering
- Receive and send correspondence by mail, e-mail and fax
- Maintain calendars for assigned Partners and other members of management
- Aid in maintaining the professional appearance of the reception area, conference rooms and common areas
- Utilize the firm's e-file system to electronically file extensions and tax returns; efficiently process and assemble tax returns
- Prepare tax organizers and notices in accordance with the firm's policies and procedures
- Maintain and update various databases, spreadsheets, and project trackers to ensure they remain current and accurate; monitor applicable tax software
- Assist with special projects and other administrative duties as requested
Qualifications
- AS in Secretarial Science or equivalent experience
- 2 years experience as an administrative assistant - preferably in a professional services environment
- Must be able to project professional image to our clients and the community
- Ability to multi-task, prioritize and manage time effectively
- Must be able to work in a fast-paced environment
- Outstanding communication skills required
- Advanced technology skills; Must be proficient in Microsoft Office
