Job Overview
WEG Events is seeking an organized and creative individual for the role of Client Services Coordinator in the Orlando, Florida office. The primary role of this position is to support the Client Services team through venue and vendor sourcing, event concept development, client pitch design, hotel contracting, team travel & site visit management, and research (through social media and other sources) and implementation of new event technologies and trends.
Responsibilities & Duties
· Deliver world class customer service to all WEG clients
· Act as an ambassador to WEG clients and the internal Client Services team during the full event life-cycle for WEG client: discovery, planning, implementation, and closure
· Communicate effectively across WEG organization and with clients as appropriate including feedback collection and problem solving
· Prepare, circulate and utilize all event intake, planning and closure forms to efficiently manage Client Projects
· In tandem with WEG event lead, bring Client vision to life through developing timely pitch decks which feature creative sourcing of venues, décor, activities, guest gifting, meeting space
· According to WEG event standards, conduct venue feasibility studies, and facilitate contract negotiations
· Conduct research on varying industry trends including new vendors, locations and technology
· Process and document invoices
· Manage travel and accommodations for event staff
· Manage and maintain planning tools such as contact sheets, production schedules and event timelines
· Other duties as assigned
Skills & Qualifications
· Live in the greater Orlando, FL area
· 3-5 years’ experience in client services, customer service, production company, event planning or DMC a plus
· Experience researching industry trend through social media and credible influencers
· Basic knowledge of graphic design software a plus
· Highly proficient in Microsoft Word, Excel and PowerPoint
· Exceptional in oral and written communication
· Detail oriented and highly organized with the ability to multi-task
· Able to work efficiently under tight deadlines both individually and with a team
· Able to think conceptually and creatively
· Available to travel on nights and weekends as needed both domestic and international
