Provides support and assistance for all aspects of Philanthropy Engagement and the Annual Giving Program. Under direction of the Director, coordinates fundraising and cultivation projects to both prospective and existing donors, toward the goal of increasing new membership, retention, and pipeline activity.
Job Responsibilities
- Coordinates production of mailings. Pulls donor lists from database, circulates mail lists for internal review, obtains photos for use in mailings, proofreads mail materials, and ensures appropriate coding for all mailing segments.
- Assists donors, prospects, and grateful patients with patient referrals, inquiries, and complaints.
- Manages annual and special giving donor records using fundraising database. Maintains information and data integrity within the database, adhering to established departmental standards and policies.
- Assists with the processing of donations to ensure appropriate coding and handles any non-revenue related needs.
- Monitors budget by maintaining expense spreadsheet. Identifies and communicates any discrepancies between approved and actual expenses.
- Drafts and edits letters, invitations, inquiry responses, special acknowledgements, and other correspondence.
- Assists with staffing special fundraising and cultivation events. Coordinates event materials including schedules, response lists, speeches, and briefing materials.
- Provides administrative support, which may include calendaring, expense reporting, and vendor management.
- Maintains accurate and up-to-date files for all projects.
- High school diploma or GED
- Approximately 2-3 years of prior related experience.
- Knowledge of, and experience with fundraising database programs such as BBEC, Raisers Edge and Benefactor.
- Excellent computer skills including good working knowledge of MS office. Ability to earn new computer software and applications.
- Ability to communicate instructions and observations effectively verbally and in writing.
- Strong organizational and communication skills as well as the ability to work independently.
- Diplomatic and discreet. Must be able to handle confidential and sensitive information of often high-profile individuals with care and discretion.
- Knowledge of, and experience with Constant Contact or similar email marketing program.
- Strong project management skills with a proven ability to achieve results and ability to prioritize work to meet multiple deadlines.
- Ability to be flexible and can manage multiple duties simultaneously.
- Excellent organizational skills including self-management of work schedule, ability to multi-task, and prioritize in a fast-paced environment.
- Accomplished interpersonal skills with diplomacy and poise.
Working Conditions/Physical Demands
- Standard office work.
- Some evening and weekend work may be required.
- Occasional travel within NYC may be necessary.
