Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in acting as an intermediary between the Service and Administrative departments to help create a smooth workflow. This person will work closely with the Administrative Support Specialist to support both departments. This position requires a proactive individual who can manage multiple tasks efficiently while maintaining a positive attitude and excellent communication skills.
Duties
- Perform data entry tasks accurately and efficiently to maintain up-to-date records.
- Greet visitors at the front desk and provide exceptional customer service.
- Handle phone calls with professionalism, demonstrating strong phone etiquette.
- Proofread documents for accuracy and clarity before distribution.
- Incoming and outgoing shipping for Service Department
- Assist in organizing office operations and procedures to enhance productivity.
- Maintain filing systems, both electronic and physical, ensuring easy retrieval of information.
- Support for procurement, order placement, customer invoicing and customer collection calls
- Service department Invoicing based on service reports
- Support various administrative projects as needed, demonstrating effective time management skills.
Requirements
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Previous experience in an administrative role is preferred but not required.
- Experience with a CRM and/or CPQ software
- Ability to work independently as well as part of a team in a fast-paced environment.
- Attention to detail and commitment to producing high-quality work.
- Strong time management skills to meet deadlines consistently.
- Above average experience with popular Microsoft suite applications such as Outlook, Word and Excel.
