Description
The Line Intervention Service Coordinator role will be the primary point of management of all Line Intervention service work orders. They will work to proactively and reactively manage all won jobs to help ensure good communication with the commercial team and a great hand off with operations. Quick and timely response, highly organized, good with details, great communication, and excellent with computers will be critical to success.
Duties/Responsibilities:
Job Coordination
- Once an order is closed won, handle pre-project communications with the customer both proactive and reactive
- Ensure all data sheets are collected for job and all job details are uploaded into the work order folder in CRM. Ensure all other fields on work order and in the service appointments are uploaded
- Check in with the customer on projected dates for the project. Manage and move service appointments in CRM both proactively and reactively
- For line stop jobs, ensure sealing elements are ordered and delivered to service center in time. Both drilling and turning (until we start doing this in house)
- When requested by customer, work with engineering to get stack up drawings and other technical information such as equipment details and flow rates
- Ensure customer has received MTRs for orders with fittings
- Ensure that equipment set up, tech dispatching, and equipment return flows from the work order management process in CRM
Billing
- Collect JCAs from service centers and review for accuracy. Submit to accounting clerk and update CRM work order WOLI accordingly
- Handle all invoice disputes but collecting back up data and building spreadsheets to layout details
- Reconcile all WOLIs in CRM to ERP system to ensure revenue is being recognized in proper month.
- Conduct a Monthly margin review meeting with operations and quotations
Contract Support
- Project manage all MSAs, including coordination/completion of all customer requested forms. Submitted back to customer in timely manner
- Ensure all MSAs in CRM are uploaded and managed. Flagging MSAs that will expire (90 days notice). Update all impacted parties of status changes
- Process all job specific contracts & work offers. (maybe or maybe not)
Other
- Enter all inventory fitting orders per SIOP instructions
- Enter all WFS equipment orders into ERP and assets into CRM
- Support other service operations needs as requested
- Request and manage all POs for equipment purchases. Enter assets into CRM
- Manage equipment vendors to ensure equipment is delivered to promises
- Ensure post job survey is sent to customer and that post job survey is shared with team
- Work with sales people to ensure they are up to date on their customers projects
Education/Experience Requirements:
- Associates Degree or Equal experience in Oil and Gas Industry
- Expediting Experience Helpful
