This Line Intervention Service Operations Agent role will be the primary point of management of all Line Intervention service work operational billing needs. They will work to proactively and reactively manage all won jobs to help ensure good communication with the operations team. Quick and timely response, highly organized, good with details, great communication, and excellent with computers will be critical to success.
Duties/Responsibilities:
Job Coordination
- Ensure a legal agreement is in place to perform the work for contractors and end-users. Coordinate with commercial and accounting team for new customer setup at time of project award.
- Once an order is closed won, handle pre-project communications with
- the commercial team – both proactive and reactive.
- Verify with the LI Service coordinator on project expectations and kick-off needs prior to execution.
- Review commercial margin obligations with the operations team and ensure the budget is established
- Proactively managing logistical needs out of service centers and provide financial feedback to the commercial team for accuracy.
- Create operations work traveler for service centers based around commercial obligations and expectations.
- Ensure LI inventory product sales are pulled and shipped to clients in a timely manner. Coordinate with the manufacturing team and LI service coordinator.
Billing
- Proactively manage operational billing for Hot Tap and Line Stop projects. Submit to accounting clerk and update CRM work order WOLI accordingly.
- Handle all invoice disputes by collecting back up data and building spreadsheets to layout details with LI Service coordinator.
- Reconcile all WOLI’s in CRM to ERP system to ensure revenue is being recognized in the proper billable month.
- Conduct a weekly invoicing meeting with operations management for monthly forecast modeling.
- Conduct a monthly margin review meeting with operations management and service center leadership.
Other
- Coordinate with manufacturing on inventory fitting orders.
- Ensure proper inventory sale transactions are completed in ERP and submitted to accounting clerk for billing needs.
- Enter all WFS equipment orders into ERP and assets into CRM
- Manage all PO’s for equipment purchases with operations director. Enter assets into CRM.
- Support other service operations needs as requested
Qualifications
Education/Experience Requirements:
- Associate's degree or Equal experience in Oil and Gas Industry
