Position Summary:
We are seeking a dynamic Office Manager with strong leadership experience in medical office operations. The ideal candidate is results-driven, organized, and knowledgeable in medical compliance, human resources, and billing procedures. This role is responsible for achieving financial goals, supporting patient satisfaction, streamlining operations, and overseeing the daily function of the clinic.
This position is flexible to be either part-time or full-time and requires availability on Saturdays as needed.
Key Responsibilities:Operations & Leadership
- Oversee the day-to-day operations of the clinic including front desk, scheduling, billing, and support staff
- Ensure efficient workflows and a positive patient experience
- Coordinate with clinical and administrative staff to ensure smooth functioning of services
- Maintain inventory and office supply management
Financial Management
- Monitor and meet established financial and performance goals
- Track patient volume, revenue, and expenses; report key performance indicators (KPIs) to leadership
- Assist with budget planning, cost control, and identifying opportunities to increase profitability
Compliance & HR
- Ensure clinic operations follow federal, state, and HIPAA regulations
- Manage credentialing, licensure tracking, OSHA compliance, and clinic audits
- Supervise hiring, onboarding, employee evaluations, and performance development
- Foster a culture of excellence, accountability, and continuous improvement
Customer Service & Communication
- Act as a liaison between patients, families, providers, and external partners
- Maintain excellent patient service standards to increase satisfaction and retention
- Handle escalated concerns with professionalism and empathy
Qualifications:
- Minimum 3 years of managerial experience in a medical or wellness office setting
- Proven track record of achieving financial targets
- Knowledge of healthcare compliance, OSHA, HIPAA, and HR best practices
- Strong organizational, communication, and problem-solving skills
- Bilingual (English/Spanish) preferred
- Experience with EMR/EHR systems and medical billing a plus
- High level of professionalism, leadership, and reliability
