The Executive Administrative Assistant II is responsible for performing diverse and advanced administrative duties for our Chief Marketing Officer. Performs advanced, highly confidential and sensitive administrative responsibilities requiring broad knowledge of the company's policies, procedures and fundamentals.
Responsibilities Include:
- Create and prepare professional correspondence, reports, presentations and miscellaneous documents. Coordinate travel arrangements, maintain appointment schedules, process expense reports and ensure smooth office operations to maximize efficiency of their time.
- Coordinate weekly high-level executive meetings, along with preparing and distributing agenda. Responsible for attending meetings, preparing and retaining meeting minutes and meeting follow-up as necessary including communication of important issues to Executive Management.
- Coordinate and manage special projects which are deemed to be a high priority and highly confidential. Track and report progress and results on a continuing basis.
- Prepare budgets, handle P&L statements and safeguarding highly confidential and sensitive financial information.
- Coordinate departmental meetings and events, training, outside consultants, vendors and special committees for management.
- Participate in special committees and project teams within the company. Supports multiple functions/departments across the organization.
- Ensures efficient operation of the department team while making administrative decisions for the department and executive staff member. Acts as a liaison for the team and brand/Company ambassador.
- Subject matter expert for the Administrative staff (develops functional skills, shares best practices). Mentor administrative/support teams.
- Associates degree in Business or Administrative Professional.
- 5-7 years experience providing administrative support to Senior Level Executives. Project Management experience preferred.
- Advanced Office and Outlook knowledge
- Ability to manage multiple tasks/projects with efficiency and delivers results, comfortable working with senior management.
- Strong customer service skills and ability to interact with internal employees and external customers, vendors and public.
- Ability to streamline processes through CI, conduct self in a professional manner
- Set direction and complete work with limited direction.
- Lead, coordinate and manage projects. Ability to mentor and coach administrative staff.
