Position Summary
The Total Rewards Coordinator is responsible for the coordination and management of employee health and wellness benefits programs, providing education and assistance to employees for retirement services, and ensuring compliance with applicable state and federal regulations.
This role involves coordinating benefits processes with HR leadership and benefits broker, resolving employee inquiries, and assisting with the overall communication of health benefit plans. The Total Rewards Coordinator works closely with HR, external vendors, and employees to deliver accurate, timely, and efficient benefits services.
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred, or equivalent experience.
- 1-3 years of experience in benefits administration and human resources, with a focus on retirement services.
- Knowledge of benefits and retirement regulations, including ACA, COBRA, HIPAA, and ERISA.
- Experience with HRIS systems and benefits administration software.
- Strong interpersonal and communication skills, with the ability to explain complex benefit information to employees.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong Attention to detail and organizational skills.
- Problem-solving and decision-making abilities.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Excellent communication and customer service skills.
- Ability to work independently and as part of a team.
- Commitment to HIPAA and ability to abide by standards of professional ethics and maintain confidentiality.
- Assist and support the Center/Department/Program to meet standards of High Reliability.
- Travel 5% of the time within the Sacramento region to attend benefits-related meetings or training sessions.
Essential Responsibilities
- Assist with the coordination of health benefits programs, including medical, dental, vision, life insurance, and disability plans.
- Process benefits terminations, and retirement services coordination, ensuring accuracy and adherence to deadlines.
- Maintain up-to-date benefits records and ensure that benefits-related data is correctly entered into the HRIS system.
- Partner with the HR Coordinator to facilitate biweekly Welcome Orientation sessions.
- Serve as the main point of contact for employees regarding health benefits inquiries, claims issues, eligibility, and plan options.
- Educate employees on the benefits available to them and assist with the open enrollment process.
- Provide timely and clear communication regarding benefits changes, deadlines, and compliance updates.
- Ensure compliance with federal, state, and local benefits regulations, including ACA, COBRA, HIPAA, and ERISA.
- Assist with the preparation and filing of required compliance documents, including ACA reporting and COBRA notices.
- Maintain accurate records and reports related to benefits programs and employee participation.
- Coordinate with third-party administrators, insurance carriers, and benefits vendors to resolve issues, process claims, and ensure high-quality service.
- Assist with vendor management, ensuring adherence to service level agreements and adherence to cost-effective benefit options.
- Review and audit billing statements and invoices for accuracy.
- Assist with the planning and execution of the annual open enrollment process, including employee education sessions and distribution of enrollment materials.
- Prepare and update benefits communication materials, such as plan summaries, brochures, and FAQs.
- Respond to employee questions and provide assistance with online enrollment systems.
- Collaborate with HR leadership to support wellness initiatives that promote employee well-being and engagement.
- Help coordinate wellness activities, challenges, and programs designed to improve health outcomes and reduce healthcare costs.
- Coordinate with third parties for LOA’s, including but not limited to FMLA, PDL, CFRA, employee medical accommodations, and ADA. Will need general oversight on employer portal to view all employees on leave of absence.

Physical Demands and Work Environment
The work environment is characteristic of an office environment. The employee must also possess hearing and speech to communicate in person and over the phone. The noise level in the work environment is usually quiet.
The employee may be in contact with individuals and families in crisis who may be ill, using substances, and/or not attentive to personal health and safety for themselves or their homes. The employee may experience a number of unpleasant sensory demands associated with the client’s use of alcohol and drugs, and the lack of personal care. The employee may also be exposed to bodily fluids (blood, urine) and hazardous chemicals.
