Job Summary:
The Volunteer Services Specialist is responsible for providing administrative support and assisting in the coordination of
various volunteer projects. The Specialist updates policies, procedures, and volunteer onboarding material as well as
prepares reports and maintains the Volunteer database. This role assists in enhancing the overall patient experience,
supports the delivery of high-quality, patient- and family-centered healthcare services, and contributes to the well-being
of patients, their families, and the healthcare community.
Core Responsibilities and Essential Functions:
Volunteer Onboarding Support:
Coordinate volunteer applications to ensure a structured and timely process which includes scheduling volunteer interviews, TB tests, background checks, and other onboarding requirements. Schedule volunteer training, and update volunteer material. Create a welcoming environment for volunteers as they become a part of our team.
Project Promotions/Event Coordination:
Assist in planning and coordinating department programs, projects and special events. Participate in onsite events as appropriate and assist with setup and preparation. Create appropriate promotional materials and
collaborate with Communications/Marketing to ensure compliance with brand standards. Assist in developing and updating Volunteer Services Website on a regular basis or as needed.
Volunteer Training/Placement Program:
Assist in collaborating with hospital departments/practice sites to place and support volunteers. Assist with orientation/training sessions to ensure volunteers are knowledgeable about hospital policies, procedures, safety protocols, and patient confidentiality guidelines. Coordinate logistics for training programs.
Maintain office supply inventory. Coordinate maintenance of office equipment. Create organized method for managing files and records. Receive, sort and distribute incoming mail. May be responsible for time and attendance and have some budgetary responsibility to include tracking and monitoring expenditures.
Compliance and Documentation:
Assist in ensuring that volunteer records comply with hospital policies, procedures, and regulatory
requirements. Maintain accurate and up-to-date records of volunteer hours, activities, and required documentation. Prepare reports and present findings.
Performs other duties as assigned
Complies with all Wellstar Health System policies, standards of work, and code of conduct.
Required Minimum Education:
- Associates General
- Bachelors General-Preferred
Required Minimum License(s) and Certification(s):
All certifications are required upon hire unless otherwise stated.
Additional License(s) and Certification(s):
Required Minimum Experience:
Additional years of relevant work experience and/or other specialized training can be used in lieu of minimum education requirement Required and
Minimum 1 year volunteerism and/or administrative/project assistance OR completion of PFCC
Internship Required or Minimum 2 years administration and/or event/project coordination Preferred
Required Minimum Skills:
Proficient in Microsoft Excel and Powerpoint
Excellent verbal and written communication
Ability to listen, be empathetic, motivate, and follow through
Ability to multi-task and handle heavyworkload
Canva or graphic design experience preferred
Special events coordination preferred
