Wesley Apartment Homes is seeking a Collections Manager for our in-house Collections Department. The Collections Manager is responsible for overseeing timely collection of the Company’s past due A/R accounts, assisting in the development and implementation of effective collection policies and procedures, negotiating and supervising appropriate payment arrangements for delinquent accounts, monitoring and reporting regularly to firm management regarding compliance with policies and procedures, and meeting regularly with the Company’s management to review and report collection trends, data, progress and results.
Duties/Responsibilities:
- Hire, train and supervise Collection Specialists (team of 1-2 members)
- Guide, support and develop team in an effort to continuously improve processes and the department
- Monitor employee performance and perform analyses to optimize metric achievement and efficiency
- Ensure that the functions and responsibilities of the Collections Specialists are performed and reviewed for accuracy
- Establish goals for the department and employees and ensure they are achieved. If not achieved, prepare corrective actions to improve
- Responsible for preparing monthly work schedules for employees to ensure adequate coverage.
- Responsible for creating, implementing, updating, and managing the collections process which includes onboarding of new accounts into the billing system, and ensuring the completeness and accuracy of revenue stream by providing feedback to external and internal customers
- Responsible for creating, implementing, updating, and managing all accounts receivables, including collection, delinquency, defaulted, disputed, and any required adjustment to customer accounts
- Develop, document and implement appropriate systems to scale, processes and controls
- Build and manage weekly, monthly, quarterly performance metrics and reports to ensure continued efficiency gains and ability to scale to volume
- Maintain proper files customer files, prepare correct documentation to send to customers per company procedures
- Responsible for all reporting and regulatory requirements
- Monitor edits, write offs and denial activities in compliance with federal/state laws
- Is the subject matter expert and decision maker when questions arise
- Provide expert guidance and analysis to stakeholders on the areas under management
- Other duties as assigned by Senior Management
Skills/Requirements/Qualifications
- Bachelor’s degree preferred or 5-7 years Collection Management experience in lieu of degree
- Multi-family/apartment collections or management experience is a plus
- Collection call center Supervisory/Management experience required
- Flexible schedule including late nights
- Accounting. Collections, and Payment Software — YARDI, Simplicity Collect, Payment Solutions, Pay Simple, Arrray (formally Datalinx)
- FDCPA Compliant
- MS Suite with advanced skills in MS Excel
- Ability to prioritize and multi-task, with the flexibility to adapt quickly t change
- Detail-oriented, resourceful, and able to manage shifting priorities
- Excellent written and verbal communication skills required
- Ability to effectively interact with internal and external customers
- Ability to work well with other in a collaborative team environment
