Reporting to the Director of the McNair Program, the administrative assistant is responsible for providing administrative support for McNair and Upward Bound programs, as well as to align programs within the wider Office for Equity & Inclusion.

The McNair and Upward Bound Programs are U.S Department of Education funded programs. The Upward Bound grants held by Wesleyan University serve and support high school students at Maloney High School in Meriden, Platt High School in Meriden, and Middletown High School. The McNair grant held by Wesleyan serves and supports juniors and seniors at the university who are working toward degrees and eventual graduate school in science and math fields.

Responsibilities Include

  • Providing reception and managing inquiries to the shared office for McNair and Upward Bound.
  • Performing a variety of administrative functions including maintaining calendars and files, organizing meetings, managing office procedures, updating websites using Cascade Management System, and ordering supplies.
  • Creating and managing correspondence for students, advisors, school personnel, university staff and faculty, and community contacts.
  • Processing Workday supplier, expense and procurement invoices, and purchase orders; reconciling P-cards; and verifying time effort report.
  • Managing student employment hiring processes.
  • Assisting with professional development and travel arrangements for staff.
  • Coordinating logistics for programs and events including; but not limited to: room reservations, food / catering, and arranging travel for students participating in various summer programs and within-program excursions.
  • Tracking information related to different events and programs and generating relevant reports as needed.
  • Preparing documents and/or handouts for meetings and trainings.
  • Performing other duties as assigned.

This is an on-campus 0.80 FTE position in the Secretarial/Clerical Bargaining Unit. The position work approximately 28 hours per week for 52 weeks per year. 

This position will, occasionally, be required to work late afternoon/early evenings and weekends for major events.

This position is on-campus and funding has been approved through Fall 2027.

Minimum Qualifications

Associate Degree and four years of related experience or an equivalent combination of education, training, and experience.

Ability to set priorities, to take initiative, to manage multiple duties with minimal supervision, and to pay close attention to detail.

Demonstrated expertise in: Word, Excel, and other Microsoft applications; email applications; Google Drive.

Experience with webpage and database management applications.

Ability to work effectively with students, families, faculty, staff, and visitors.

Ability to maintain confidentiality and manage sensitive documents.

Demonstrated commitment to work within a diverse environment and interact collegially with individuals of different backgrounds.

Strong organizational skills.

Effective communication skills.

Ability to commit to a flexible work schedule.

Preferred Qualifications

Demonstrated experience with Workday, EMS, Handshake, Cascade Management System, Workforce Time, OneSource, and other Wesleyan-specific software applications.
