What are the responsibilities and job description for the Administrative Accounting Assistant position at West Acres Mall?
West Acres mall is seeking an Administrative Accounting Assistant to join our team! This role works across teams to support West Acres accounting, leasing, and general business operations. This role contributes to the shopping center’s vibrancy by maintaining accurate financial records, ensuring smooth office operations, and assisting with daily financial tasks and cross-team collaboration. Key responsibilities include providing administrative support to enhance operational efficiency, managing financial records, and supporting leasing functions. The ideal candidate is highly organized, proficient in Excel, a self-starter, and thrives in a collaborative, team-focused environment. This non-exempt position reports to the Chief Financial Officer and offers flexible hours of 24-40 hours per week (depending on applicant’s preference).
Key Responsibilities:
Administrative Support
Provide excellent customer service to coworkers, mall tenants, vendors, and customers
Handle general clerical duties such as scanning, copying, mail coordination, and filing
Coordinate ordering, maintenance and control of office supplies
Serve as main point of contact for the POS system, including updates, transactions and support
Assist with lease documentation and filing support
Assist with other administrative tasks
Accounting Support
Own and manage key accounting processes, such as bank deposits, prepaid expenses, and select accounts receivable invoicing
Monitor incoming invoices, download files, and assist with data entry for accounts payable transactions
Assist in managing corporate credit card expenses by entering transactions and verifying receipts
Set up and update vendor and tenant information in the accounting system
Assist with year-end processing and verify 1099 information for vendors
Update monthly sales reports and follow up with tenants
Perform data entry and maintain accurate financial records
Support and serve as backup to the Senior Accountant and Accountant
Qualifications:
Associate’s or Bachelor’s Degree in Accounting or related business field or 2 years of related experience
Strong verbal and written communication skills
Strong attention to detail and accuracy
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting/ERP systems
Knowledge of accounting and bookkeeping terminology and practices
Ability to work independently and as part of a team
