Position Summary: Provides clerical and administrative support to Early Learning programs and initiatives, enhancing educational learning. Manages a high volume of detailed clerical work for administrative and professional staff, often under pressure and with frequent interruptions, while maintaining accuracy and composure.
Essential Functions:
- Provide clerical support for program administrator.
- Answer phones, provide information, take and deliver messages and direct callers to appropriate individuals.
- Support Rolfs building routines including arrival, dismissal, fire drills, etc.
- Prepare and maintain student records, including attendance, emergency forms, allergy lists, class lists and databases and prepare reports for specific programs.
- Review and approve support staff timesheets and arranging schedules.
- Manage staff absences and deploy substitutes to necessary classrooms
- Create, copy and disseminate correspondence, notices, records and reports in accordance with program policies and procedures.
- Support transportation service requests for bus changes and new/incoming families.
- Prepare registration packets, call and schedule registration appointments with families and complete student applications and enter information into the school database.
Additional Responsibilities:
- Track and maintain accurate attendance records
- Assist and provide new staff with building orientation.
- Perform other duties as assigned which are fairly within the scope of duties normally performed by clerical staff.
- Handle purchase orders and requisitions.
- Update Child Care Counts application monthly
- Monitor and edit tracking sheets for accurate attendance and meal counts per CACFP
- Enter physical and dental exam records in Childplus and create monthly status reports
- Attend to student illness/ contact parents for pick up

Qualifications
Education, License(s) and Experience:
- High School diploma and associate degree or equivalent experience in clerical work of a progressively responsible nature.
- Experience working with AESOP, Skyward, Child Plus, and Google
- Experience and knowledge of the Head Start program Childplus
- Experience with the Google platform including Gmail, Sheets, Docs, Slides
Key Skills and Abilities:
- Excellent technical skills in District and/or program specific software
- Excellent writing and editing skills
- Operate a full array of office equipment and track supplies
- Communicate cordially and effectively with students, staff, parents, visitors and members of the community
- Organize, use time efficiently and work flexibly at multiple tasks and times
- Work independently and as a team member and prioritize workload to meet deadlines
- Maintain confidentiality in all aspects of the job
