West Cancer Foundation is seeking a full-time Executive Assistant to provide comprehensive administrative support to the President. This role involves managing day-to-day operations and handling a variety of clerical and organizational tasks. The ideal candidate is self-motivated, detail-oriented, and passionate about our mission at WCF. They should be community-minded and possess strong communication and organizational skills, as well as the ability to convey compassion. Pay range : $55,000 - $60,000 / year
Essential Duties and Responsibilities
- Provide full administrative support to the President.
- Coordinate with On Brand Communications on assigned marketing tasks.
- Enter and manage donor information in Virtuous, WCFs Constituent Relationship Management (CRM) database.
- Assist the President with donor stewardship tasks as outlined in Virtuous.
- Prepare and maintain quarterly reports on lapsed donors for the President.
- Organize and maintain organizational files and documents.
- Qualify participants for outreach programs in accordance with WCF guidelines, IRS nonprofit regulations, and Medicare / Medicaid requirements.
- Ensure proper storage and organization of financial, governance, development, and insurance documents in the shared drive.
- Plan, schedule, and coordinate meetings for the Board of Directors, YPAB, Executive Committee, and Sub-Committees.
- Manage AV equipment and presentations for meetings.
- Collaborate with the President and marketing team to recognize and appreciate volunteers.
- Support and attend all fundraising activities and events.
- Assist with donor communications, including appeal letters and thank-you notes.
- Manage the Presidents calendar and schedule appointments.
- Organize and prepare agendas for regular staff meetings.
- Perform additional duties as assigned.
