What are the responsibilities and job description for the Patient Service Representative/Front Desk position at West End Pediatrics?
The Patient Service Representative will serve as the main point of contact for all patients. While in this position, they will be responsible for scheduling appointments, updating patient demographic information, and answering phone calls. This position will help facilitate the exchange of information between patients, providers, and clinical staff.
- Greets and registers patient at Check-In in a prompt, courteous, and helpful manner.
- Verifies demographic information, insurance, and records in the patient’s account.
- Obtains most up to date insurance coverage and inputs this information into the system prior to patient being seen.
- Collects co-payments due from patient and generates receipt for any money collected.
- Answers phone in a friendly and professional manner. Takes messages and screens calls as needed.
- Schedules various patient appointments within the correct time frame.
- Calls to request or faxes a request to receive medical records from other practices or hospitals as needed.
- Scans in demographic forms, medical records, and other documents into patient’s charts.
- Helps manage the faxing queue and sends faxes when requested.
- Calls patients to verify appointments for next day for check-ups and other consultations.
- Reschedules or cancels appointments as necessary.
- Handles the mail received and makes sure it is distributed correctly and in a timely fashion.
- Restocks reception desk and maintains neat, organized work area. Keeps waiting room area neat.
- Duplicates and distributes information from/to providers, nursing staff or other parties upon request.
- Check out patients after they are finished with their appointments by reviewing instructions given by the provider and scheduling their follow-up appointments.
- Maintains patient confidentiality.
- Screens visitors and responds to routine requests for information.
- Confirms that we have records for any new patients on the schedule.
- Ensures patient flow is maintained and informs Manager of any department and patient issues immediately
- Performs other duties as assigned.

Pay: From $17.00 per hour
Expected hours: 40 per week
