Position Summary
The Part-Time Office Manager plays a critical role in maintaining smooth day-to-day operations. This individual will be responsible for managing vehicles, ensuring efficient customer service, organizing administrative tasks, and supporting the team in creating and tracking essential materials. The ideal candidate is detail-oriented, capable of multitasking, and comfortable working in an environment with children with developmental disabilities.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
· Vehicle Management: Oversee maintenance, cleaning, fueling, and registration of a fleet of four vehicles.
· Customer Service: Respond to phone calls and emails in a timely and professional manner. Reach out to no-show clients to follow up. Send weekly class information to families.
· Administrative Support: Create invoices and track receipts. Make copies, scan documents, laminate, and organize office materials. Develop classroom materials to support team members and students.
· Inventory and Supplies Management: Track office inventory and order supplies as needed.
· Emergency Communications: Contact families in case of emergencies.
· Staff Support: Maintain the time-off calendar for staff. Post job vacancies and assist in scheduling interviews.
Minimum Qualifications (Knowledge, Skills, and Abilities)
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
· Strong organizational skills with attention to detail.
· Excellent verbal and written communication abilities.
· Ability to multitask and manage priorities effectively.
· Experience working around or with children with developmental disabilities is preferred.
· A proactive approach to problem-solving and the ability to work independently.
