Purpose Statement
The job of Registrar - Middle School is done for the purpose/s of providing secretarial support to the Counseling Department; communicating information to students, parents/guardians, staff, and/or other districts; documenting information on students class placement, and ensuring compliance with financial, legal and administrative requirements.
Essential Functions
- Assists with transitions/transfers (e.g. elementary to middle school, middle school to high school, another middle school, etc.) for the purpose of providing student school movement as seamless as possible.
- Assists Counseling office personnel (e.g. answering phones, scheduling students, list of awards, etc.) for the purpose of supporting them in the completion of their work activities.
- Maintains master schedules for the purpose of ensuring availability and accuracy of information.
- Maintains inventory of office supplies, materials, and/or equipment for the purpose of ensuring the availability of materials when needed.
- Maintains a variety of records (e.g. students official transcripts, master schedule updates, rosters, building reports, progress reports, enrollment, etc.) for the purpose of documenting student's goals and achievements and complying with educational policies and procedures.
- Participates in meetings, workshops and seminars for the purpose of conveying and/or gathering information, developing knowledge required to perform job functions and meet district objectives.
- Prepares and processes a variety of forms and documents (e.g. parent/guardian letters, transfer grades, applications/scholarships, code of conduct contracts, communication with parents/guardians, teachers and outside professionals, class announcements, etc.) for the purpose of communicating information to school and district personnel, the public, state officials, etc.
- Processes requests for transcripts for the purpose of transferring accurate information to requesting party.
- Responds to inquiries from various internal and external parties for the purpose of providing and/or exchanging information, facilitating communication and/or providing direction.
- Schedules various activities (e.g. meetings, testing arrangements, referral appointments, etc.) for the purpose of assisting in meeting staff needs and efficiently utilizing personnel, equipment and facilities.
- Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions.
Other Functions
- Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
- Perform other duties as assigned for the purpose of ensuring the efficient and effective functioning of the school.
Job Requirements: Minimum Qualifications
Skills, Knowledge and Abilities
SKILLS are required to perform multiple tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including utilizing pertinent software applications; and preparing and maintaining accurate records.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: concepts of grammar and punctuation; and business telephone etiquette.
ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and/or groups; work with a variety of data; and utilize specific, job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; working as part of a team; working with detailed information/data; adhere to district policies; regular attendance except when allowed leave.
Responsibility
Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; operating within a defined budget. Utilization of some resources from other work units may be required to perform the job's functions. There is some opportunity to impact the organization’s services.
Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. The job is performed under conditions with some exposure to risk of injury and/or illness and in some varying atmospheric conditions.
