    JOB DESCRIPTION
    SPECIAL EDUCATION COORDINATOR AND HUMAN RESOURCES EXECUTIVE SECRETARY
    PENDLETON COUNTY SCHOOLS
    • TOTAL COMPENSATION: Salary based on experience and education level per CBOE salary schedule plus competitive benefits package equal to approximately 35% of direct compensation. Please use the following link for further details Benefits and Salaries | Pendleton County Schools.
    • TERM OF EMPLOYMENT: 261 Days
    • QUALIFICATIONS:
      • High School Diploma
      • Proficient skills in keyboarding, word processing, spreadsheets, and file maintenance
      • Ability to develop spreadsheets, use databases, and do word processing
      • Ability to type with the accuracy of a minimum of 50 words per minute.
      • Must possess excellent organizational skills and the ability to handle details accurately.
      • Proficient in filing and documentation management, electronic and paper-based
      • Ability to take accurate, detailed notes while in meetings and transcribe to electronic formats.
      • One-year successful experience in bookkeeping is preferred.
      • Effective communication and interpersonal skills
      • Must successfully pass the State Competency Test for Secretary
      • Must successfully pass the State Coordinator Test for Coordinator
    • IMMEDIATE SUPERVISOR: Director of Human Resources and Director of Student Services
    • EMPLOYEE CLASSIFICATION:

    • RESPONSIBILITIES:
      • Human Resources:
        • Performs a variety of administrative and/or secretarial support activities for Director and assigned staff, such as composing replies to correspondence on their own initiative, responding to inquiries from a variety of sources, and summarizing reports and information to facilitate review by Director.
        • Must maintain a high level of confidentiality with all matters.
        • Maintains calendar and appointment schedules for Director.
        • Prepares correspondence, reports, email, and facsimiles.
        • Maintains office files for the Director.
        • Arranges travel and accommodations for business trips for Director.
        • Prepares or directs the preparation of minutes, notices, manuals, agendas, and correspondence with supporting documentation, requiring application of specialized knowledge of the assigned function.
        • Prepares or directs the preparation of staff professional development records.
        • Prepares correspondence, reports, or other documents from rough drafts, notes, or tapes; corrects grammar, spelling, and punctuation errors; edits wording without changing the intended message.
        • Maintains, organizes, and orders all office supplies for the department.
        • Prepares certification job postings.
        • Assistance with the planning and implementation of HR events.
        • Corresponds with other departments and outside vendors.
        • Ability to pull data and put it in presentation format.
        • Completing all reports and maintaining records as assigned by Director.
        • Performs other duties as assigned.
        • Performs duties efficiently and productively.
        • Maintaining positive work habits.
        • Models nondiscriminatory practices in all activities.
      • Special Education
        • Performs a variety of administrative and/or secretarial support activities for supervisor and assigned staff, such as composing replies to correspondence on own initiative, responding to inquiries from a variety of sources, summarizing reports and information to facilitate review by superior, and investigating, evaluating, and resolving problems within the scope of the position.
        • Prepares or directs the preparation of minutes, notices, manuals, agendas, and correspondence with all supporting documentation, requiring application of specialized knowledge of the assigned function.
        • Researches, summarizes, and analyzes information; compiles data to prepare special and recurring reports containing specialized or sensitive information following general direction or supervisor or assigned staff; selects relevant information from a variety of sources.
        • Maintains and tracks budgets for the department; monitors expenditures and performs simple analysis on accounts; prepares both special and recurring reports for the supervisor or assigned staff.
        • Serves as a liaison to employees, customers, outside agencies, and the public concerning departmental information or complaints.
        • Opens and reviews all incoming mail; answers inquiries and composes correspondence on own initiative on general matters in accordance with established guidelines; and forwards other items to the supervisor or appropriate staff.
        • Screens phone calls and visitors, directing to appropriate staff or department when necessary; provides information requiring comprehensive knowledge and may interpret department work procedures and operations.
        • Plans and arranges conferences or meetings under general instructions from supervisor or assigned staff; communicates arrangements to appropriate individuals.
        • Prepares correspondence, reports, or other documents from rough drafts, notes, or tapes; corrects grammar, spelling, and punctuation errors; edits wording without changing the intended message.
        • Maintains calendar(s) for assigned staff, regularly prioritizing and arranging meetings, conferences, and appointments; arranges necessary travel reservations and itineraries; anticipates and prepares background materials needed.
        • Completing all reports and maintaining records as assigned by Director.
        • Performs other duties as assigned.
        • Performs duties efficiently and productively.Maintaining positive work habits.
        • Models non-discriminatory practices in activities.

          • Is effective in the management of financial matters, such as budget allocations, recording expenditures, maintaining balance for each account, reconciliation of check statements, etc.
          • Demonstrates the ability to follow directions.
