Reports to: Assistant Superintendent of Schools
Work year: 12-month position (261 days less holidays and vacation days)
Salary range: Commensurate with experience and job requirements, non-union salaried position
Start Date: Approximately June 9, 2025
Hiring Timeline:

Job Summary:
The optimal candidate is a highly effective individual who will serve as the School Registrar and as the Administrative Assistant to the Assistant Superintendent of Schools. In this role, you will report to the Assistant Superintendent and serve as a key point of contact for the Superintendent’s Office. You will work collaboratively with school administrative staff, the professional teaching staff, and the Central Office staff. And, as our new families’ first interaction with WPS, you will interface with our diverse community registering new students into our 7 schools.
Qualifications:
- Bachelor’s Degree or higher and experience in a related field
- Bilingual, or proficient, in Spanish and/or Portuguese preferred
- Experience working in an executive-office environment, preferably a Massachusetts public school district central or school front office
- Ability to maintain high level of confidentiality and handle a wide range of situations with sensitivity and tact
- Excellent administrative and comprehensive technology skills including a working knowledge of Google Workspace suite and other industry standard online and software applications
- Excellent verbal and written communication skills
- Ability to relate in a positive, calm manner with members of the public, parents, staff and students
- CORI and Fingerprinting: All appointments are conditional based on a satisfactory CORI and SAFIS Background Check per 603 CMR 51.00.
CENTRAL FUNCTIONS OF THE JOB (MAY INCLUDE BUT ARE NOT LIMITED TO):
- Register all new incoming students
- Query and manage records within a variety of databases
- Manage address verifications, update change of student addresses in Powerschool
- Track educator professional growth as it relates to salary lane changes
- Manage staff evaluation data and ensure timely communication about cycle steps
- Maintain the Curriculum and Instruction budget; manage purchase orders for the Assistant Superintendent and Curriculum Coordinators
- Track homeschooling plans
- Cover for the Executive Assistant to the Superintendent when needed
- Initiate and/or draft, prepare, and distribute a variety of documents, including but not limited to letters, memos, e-mails, acknowledgements, notices to staff, forms, presentations, and reports; sign specified correspondence on behalf of the Assistant Superintendent
- Maintain Assistant Superintendent’s calendar, facilitate and screen internal and external appointments, schedule and coordinate meetings; ensure that all official obligations are met.
- Manage space use requests for meeting rooms
- Coordinate work flow through the Assistant Superintendent's office, including the independent processing of routine matters and directing matters to the appropriate personnel
- Maintain a variety of records, files, and department databases for the purpose of documenting activities, providing reliable information, and complying with district, state and federal requirements
- Respond to inquiries from a wide variety of internal and external parties (e.g. staff, parents, students, school committee, public agencies, etc.) for the purpose of providing information and facilitating communication among departments
- Scheduling various activities and annual District events (e.g. meetings, special programs, etc.)
- Act as a Notary Public for the district office and schools (application fee paid for by WPS)
- Any other assigned tasks as requested by the Assistant Superintendent and Superintendent
SUPERVISORY RESPONSIBILITIES
The Administrative Assistant to the Asst. Superintendent/School Registrar does not have any supervisory responsibilities.
