Overview:
Westchester Jewish Community Services (WJCS) is seeking a detail-oriented and proactive full-time Executive Assistant/Finance Coordinator to join our Finance department located at our Headquarters in White Plains, NY. This role provides essential project management and administrative support to the CFO and Finance team. This position is hybrid, requiring in-office work 3-4 days per week. The compensation range is $55,000 - $62,000 per year.
Responsibilities:
As a valued member of our team, your responsibilities will include, but are not limited to:
- Providing administrative support to the CFO, including preparing correspondence, forms, expense reports, and scheduling meetings.
- Coordinating and distributing mail and helping to transition vendors and funders to digital (vs. paper) correspondence.
- Supporting outsourced Accounts Payable function by assisting with onsite check printing and distribution, working in Intacct (Financial system) or BILL A/P system, supporting timely vendor payment and resolution of vendor payment issues.
- Completing banking deposits (cash and check scanning) in online bank systems, driving to bank periodically & set up or upload of transfer information to bank portals/systems. Complete forms to transition funders from check payments to ACH payments.
- Managing set up and issuance of corporate credit cards for staff in credit card portal.
- Assisting in managing petty cash funds.
- Managing and maintaining the department-wide financial and tax reporting calendar, liaising with the CFO, finance, and program staff to ensure an organized review process.
- Maintaining comprehensive digital files.
- Obtaining insurance certificates, supporting the completion of annual insurance renewal applications, and liaising with insurance broker and others.
- Coordinating and processing contracts and other financial documents.
- Assisting external auditors with documents.
- Coordinating purchasing activities for office supplies as needed.
- Other duties or projects as assigned by CFO
Requirements:
We are seeking candidates who possess the following qualifications:
- Associate’s Degree in business or finance.
- Minimum 3-5 years of office administration, bookkeeping or accounting experience, in a Finance department, financial services, or accounting business.
- Proficiency in Microsoft Office, including Excel.
- Valid NYS driver’s license and a vehicle.
- Detail oriented with project management experience and the ability to prioritize tasks in a busy department with multiple responsibilities and deadlines.
- Understanding of the functions of a Finance department.
- Ability to prioritize, organize and follow up on responsibilities in a busy finance department.
- Excellent communication and interpersonal skills.
