Job Description Summary
This position reports directly to the Manager, Human Resources. This role is responsible for supporting the organization’s talent acquisition life cycle, which consists of sourcing candidates for open positions. Sourcing candidates’ responsibilities includes, screening resumes, scheduling and facilitating interviews with candidates, determining and facilitating job offers, managing background checks, assisting new hired employees with onboarding paperwork, and supporting onboarding.
Qualifications
- BA/BS degree in Human Resources (HR) or related discipline and two (2) to four (4) years of direct experience working as a full-cycle recruiting coordinator in a high-volume recruitment environment or six (6) years of direct experience as a Human Resources Coordinator in a mid-sized company, preferred.
- Moderate knowledge of California employment laws, fair hiring, and other human resource compliance issues.
- Experience working with social media, job placement agencies, outside recruiters, and online job search engines.
- Strong written and verbal communication skills to effectively communicate with all levels of staff.
- Strong ability to work independently and efficiently in a multi-project, high paced environment.
- High level diligence with strong ethics to maintain strict confidentiality.
- Proficient in end-user software programs (e.g., word-processing, spreadsheet software, applicant tracking systems, and human resources information systems).
- Experience working in applicant tracking systems (ATS). Jobvite knowledge a plus.
- Experience scheduling and managing multiple calendars on tight deadlines.
- Home router with wired Ethernet (wireless connections and hotspots are NOT permitted).
- A designated room for the office or steps taken to protect company information (e.g., facing computer towards wall, etc.)
- A functioning smoke detector, fire extinguisher, and first aid kit on site.
Duties And Responsibilities
Administrative & Reporting
- Assist recruitment with creating job descriptions, posting requisitions, and acquiring approvals.
- Provide administrative support to Recruiter, including creating offer letters and new hire packets.
- Manage candidate engagement during the entire recruitment cycle.
- Complete and regularly update data entry of candidates contact information, documentation, interview notes and communications with candidates.
- Update and maintain all recruiting reports and metrics dashboard.
- Apply HR recruiting best practices and ensure compliance with all applicable employment laws.
- Keep internal managers informed about the status of open positions.
Talent Acquisition
- Collaborate directly with the Company’s internal Recruiter to call on potential job candidates, conduct initial phone screen, arrange interview appointments, facilitate pre-employment background screening, preemployment drug testing, send interview confirmations and notices.
- Prescreen candidate applications and assess applicants’ relevant knowledge, skills, experience, and competencies.
- Collaborate with the talent acquisition team to improve existing processes or create new ones.
- Process new hire files and other administrative recruiting work.
- Assist newly hired employees with new hire paperwork, review their I-9s, and process E-Verify.
- Foster long-term relationships with past applicants and potential candidates.
- Coordinate interview scheduling between applicants and hiring managers and send out interview confirmation emails to candidates.
- Function as a point of contact and build candidate relationships during the selection process.
Temporary Staff
- Collaborate with the temporary staffing agencies to secure necessary staff, in line with organizational needs.
- Build and maintain strong relationships with both temporary workers and hiring managers to ensure a positive experience for all parties.
- Evaluate candidates through interviews, and skills assessments to ensure they meet the requirements of the role.
Human Resources Administrative Support
- Collaborate with HR colleagues, members of management, other company-wide subject matter experts, and members of management to contribute to the Company’s newsletter Fresh Thoughts. This may include writing and editing.
- Provide support to special ad-hoc projects like uploading benefits information into the payroll/HRIS system.
- Aid in tracking and editing changes to job descriptions to ensure the most current iteration is posted on the Company’s Intranet.
- Actively participate in the new hire orientation program by presenting HR related information all employees should be aware of.

- Maintain internet speed of 40 MB download and 10 MB upload and router with wired Ethernet. Maintain a HIPAA-compliant workstation and utilize appropriate security techniques to ensure HIPAA-required protection of all confidential/protected client data.
- Maintain and service safety equipment (e.g., smoke detector, fire extinguisher, first aid kit). All other duties as assigned.
