Requirements of a Director of Purchasing and Accounts Payable:
● Bachelor's degree in Business Administration, Accounting, or related field
● Proven experience in purchasing and accounts payable management
● Strong analytical and problem-solving skills
● Excellent negotiation and communication skills
● Proficiency in ERP systems and financial software
● Understanding of supply chain management principles
● Detail-oriented with strong organizational skills
● Effective oral and written communication skills
● Proven organizational abilities and time management skills
● Must be able to manage several projects simultaneously paying close attention to details
● Must be able to read, speak and write fluent English
Responsibilities of a Director of Purchasing and Accounts Payable:
● Supplier Management: Identify, evaluate, and select reliable vendors, negotiate pricing and contract terms, and build strong relationships with key suppliers.
● Procurement Strategy: Develop and implement purchasing strategies to optimize costs, quality, and delivery times, considering market trends and supply chain risks.
● Purchase Order Processing: Review and approve purchase requisitions, generate purchase orders, and monitor order status to ensure timely delivery.
● Inventory Control: Collaborate with inventory management to maintain appropriate stock levels, forecast demand, and identify potential shortages.
● Quality Assurance: Establish quality standards for procured goods and services, and oversee inspection processes to ensure compliance.
● Invoice Verification: Review vendor invoices for accuracy, including pricing, quantities, and compliance with purchase orders as well as General Ledger coding.
● Payment Processing: Ensure timely processing of vendor payments according to established payment terms and company policies.
● Vendor Reconciliation: Resolve invoice discrepancies and payment issues with vendors.
● Financial Reporting: Generate accurate accounts payable reports and analysis for management review.
● Compliance: Adhere to all relevant accounting and financial regulations related to accounts payable.
● Budget Management: Oversee the purchasing and accounts payable budget, identifying cost-saving opportunities.
● Team Leadership: Manage and develop a team of purchasing and accounts payable staff.
● System Administration: Implement and maintain purchasing and accounts payable systems, including data integrity and reporting.
● Continuous Improvement: Identify and implement process improvements to streamline purchasing and accounts payable operations.
