What are the responsibilities and job description for the Construction Project Coordinator position at Western Pump Inc?
Provides administrative support to Construction Department
Responsibilities:
• Receive and review project documents from Estimating (electronic and hard copy). Check for completeness (copy of signed contract, sub-quotes, vendor quotes, etc.)
• Set up Project folder electronic files; Transfer project electronic files from estimating folder to construction project folder
• Transfer estimate to Jonas Job Cost module.
• Set up Project in Procore; Add project users (i.e. project execution team, subcontractors, Owners, etc.), as applicable
• Review Contract from Owner
• Request/obtain insurance certificate for project
• Request/obtain payment and performance bonds for project as applicable
• Verify/obtain city business license for project
• File Preliminary Notice
• Provide prelim notice information to subcontractors/vendors
• Meet with Project Manager to discuss permitting requirements
• Prepare and submit Permit(s) applications to applicable agencies; Save electronic copy of permit in U drive and in Procore
• Meet with Project Manager to discuss Prevailing Wage Labor Compliance requirements, if applicable:
Complete and file DAS 140 and DAS 142
Save copy of faxed DAS 140 and 142 in U drive and in Procore
Provide proof of submission to Certified Payroll Manager
Complete, process PLA documents, as applicable
• Initiate and finalize the contract process between Western Pump and Subcontractor:
Prepare and process Subcontract Agreement and submit to appropriate PM for approval
Monitor and track contract documents from Subcontractor (i.e. fully executed subcontract agreement, Subcontractor Certificate of Insurance, Subcontractor Certified Payroll, Subcontractor Lien Releases, etc.)
• Establish, monitor, and maintain logs for SCO’ s, Subcontractor Lien Releases, Subcontractor Payments
• Work with Project Managers to ensure all contract documents are assembled correctly, detailed, and fully organized (i.e. submittals, permits, pay requests etc.)
• Assist Project Managers with Closeout Documents
Collect O&M and Warranty documents from Subcontractor
• Process per diem requests
• Monitor and setup technician certification trainings; Send training information to each technician; Update/file technician certifications in Procore
• Assist with new-hire orientation training
• Assist with developing/updating/improving department SOP’s
• Assist estimating department with assembling and delivering bid packages, as needed
• Assist estimating department with procuring subcontractor/vendor bids, as needed
-May require some driving for job walks or onsite support
