Overview
Provides quality administrative support in a timely and efficient manner to the Senior Vice President and Chief Marketing Officer, enabling the Vice President to concentrate on strategic goals and operational objectives for the Company and its sales force. Works with minimal supervision and is responsible for making an established range of decisions, escalating to Manager when necessary and updating Manager on a regular basis.
Responsibilities
What you will do:
- Provides accurate, professional and timely administrative support to the Senior Vice President and Chief Marketing Officer.
- Appropriately handles special direct mailings for field officer territories.
- Accurately assembles recruiting material for mailing to prospective General Agents.
- Compiles, formats and distributes accurate reports containing agency information and statistics.
- Coordinates and arranges meetings and travel schedules for the Senior Vice President and Chief Marketing Officer and Distribution Vice Presidents, Regional Marketing Directors and other associates as required.
- Handles registration and travel arrangements for Home Office associates attending LIMRA Agency Management Conference.
- Provides backup support for other Administrative Support Coordinators, Licensing and Contracting Administration Specialist and the President's Executive Assistant for vacation, sick days or other requests.
- Performs other duties as assigned.
- Complies with all policies and standards.
Qualifications
- High School Diploma Or GED - Required
- Proven extensive experience serving as an administrative assistant or executive secretary to senior-level management. Experience must include supporting multiple principles where independent decision-making and initiative were demonstrated. - Required
- Proven experience coordinating multiple projects/assignments simultaneously, and completing tasks accurately and on a timely basis. Must demonstrate strong attention to detail with excellent organizational skills. Expected to cite examples of organization and time management methods used to manage or prioritize workload demands. - Required
- Proven experience handling administrative duties independently with the authority to act on behalf of Managers including prioritizing assignments, scheduling and canceling appointments, coordinating travel arrangements, responding to routine correspondence and requests, and proactively proving desired information to various department personnel. - Required
- Demonstrated experience working and communicating cooperatively and effectively within a team environment. Must cite examples of going beyond to assist team members in work situations. - Required
- Proven experience adapting and demonstrating flexibility associated with changes to policies/procedures. Must provide examples demonstrating flexibility to meet department and customer needs in work situations. - Required
- Proven experience handling confidential information and correspondence with the ability to keep a high level of confidentiality and demonstrate discretion in all personnel related matters. - Required

Work Setting/Position Demands:
- Works in an office setting and remains in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings.
