THE INS AND OUTS OF BECOMING OUR HOTEL ADMINISTRATIVE COORDINATOR

YOUR ROLE :

As our Hotel Administrative Coordinator, your day is all about ensuring that the details are managed so the team can focus on delivering exceptional experiences. You begin by answering calls, patiently fielding questions, addressing concerns, and setting up appointments for meetings or interviews. Throughout the day, you handle important emails and in-person queries, assisting visitors and responding to requests. You help prepare agendas, take meticulous meeting minutes, and track follow-up actions, ensuring everyone stays on the same page. From storing essential reports to organizing documents for licenses or property transactions, you bring structure to the office. Your coordination skills shine as you work on internal projects, manage expense reports, and even assist with travel arrangements when needed. With every task, you embody the professionalism and dedication that keeps Western States Lodging & Management running smoothly.

OUR REQUIREMENTS :

  • Associate or bachelor's degree
  • Experience in the hotel industry and a support or administrative role
  • Experience with hospitality software is preferred (e.g., ProfitSword, TimeStar)
  • Proficiency in Microsoft Office Suite
  • Strong organizational skills with the ability to multitask and prioritize tasks
  • Excellent communication skills, both written and verbal, with a personal touch and "mind the store" mentality
  • Attention to detail and accuracy in data entry and record-keeping
  • Knowledge of general office practices, procedures, software, and equipment, with the ability to learn new computer programs
  • Excellent customer service skills
  • Ability to establish and maintain effective working relationships with employees, clients, and the public
  • Ability to work independently and collaborate effectively with a team
  • Ability to manage and prioritize multiple projects at a time
