Job Description:
Westfall & Westfall, CPAs is seeking a candidate for our Office Receptionist/Administrative Assistant position within our firm. The perfect candidate is ambitious to learn and grow within the firm as we seek to serve our existing and new business clients with outstanding professionalism and efficiency. This role is ideal for someone who thrives in a fast-paced dynamic office environment, has strong organizational skills, and enjoys interacting with clients. The ideal candidate will be responsible for managing front desk operations, handling administrative tasks, and supporting the team with day-to-day office functions. We are looking for someone who is detail-oriented, proactive, and eager to contribute to the success of our firm while providing outstanding service to our valued clients.
What You’ll Do:
- Front Desk Management: Greet clients warmly, answer calls, direct inquiries, and manage visitor check-ins.
- Office Administration: Maintain office supplies, handle incoming/outgoing mail, manage office equipment, and coordinate with vendors as needed.
- Scheduling & Calendar Management: Organize appointments, schedule meetings, and keep the office calendar up to date.
- Client Document Handling: Assist with document intake, filing, scanning, and maintaining confidential records according to retention guidelines.
- Communication & Correspondence: Draft emails, letters, and memos for internal and external communication.
- QuickBooks & Payroll Functions – Assist with bookkeeping tasks, process payroll, and manage financial data entry using QuickBooks.
- General Office Support: Assist the team with various administrative tasks, ensuring efficiency in daily operations.
What We’re Looking For:
- A Practical Thinker and Self-Motivated Individual– You know when to take initiative, ask questions, and handle unexpected situations professionally.
- Previous experience in reception, office administration, or a similar role (bonus if in an accounting or professional services firm).
- Strong communication and organizational skills – You’re friendly, professional, and great at multitasking.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software.
- Ability to handle confidential information with discretion.
- A proactive, detail-oriented, and problem-solving mindset.
- Bookkeeping, payroll and accounting experience is a plus.
