The Executive Assistant to the CEO, working with a high degree of autonomy, is responsible to perform advanced, diversified, and confidential administrative support for the Chief Executive Officer (CEO), the Executive team, and multiple directors of the Board. The role performs research, projects, presentations, correspondence, travel planning and scheduling, calendar management, reconciling expense reports, record keeping, agenda preparation, reports distribution, and complex logistics. The role also owns and proactively manages the day-to-day needs of the CEO's office and acts as the primary point of contact for all internal and external parties for matters pertaining to the CEO.
Responsibilities
- Performs diversified, and confidential administrative support for the CEO and coordination with senior executives and directors.
- Owns and proactively manages the day-to-day needs of the Executive Office.
- Provides holistic management of varied responsibilities and drives alignment to appropriately escalate issues and provide timely access for discussions that enable delivery of prioritized commitments.
- Provides a bridge for smooth communication between the Office of the CEO and other Executive department
- Represents the Executive office using independent judgement to respond to internal and external requests for assistance.
- Assists with a variety of scheduled and unscheduled projects occurring in the department at any given time.
- Collaborates with senior executives to assist with senior management presentations.
- Assists the executive in preparing for meetings by preparing agendas, notes, presentations, and leveraging technology and other means to ensure optimal efficiency and productivity for the CEO.
- Performs extensive travel planning for both international and domestic travel including management of complex air, hotel, conference, and meeting itineraries with the expectation of last-minute changes and updates.
- Interacts frequently with inter-departmental associates and management for the purpose of resolving workload and scheduling issues.
- Manages an extremely active calendar of appointments and prioritizes requests while resolving calendar conflicts in a respectful and timely manner.
- Directly involved with Board of Directors meeting cadence, preparation, and management of logistics. Maintains a detailed schedule for each project of all essential activities and deadlines.
- Manages essential and sensitive documents, data, and records. Conducts research and analysis on topics relevant to upcoming President/CEO/Board Chair commitments.
- Summarizes information, data, trends, etc. that would be helpful to know, and incorporates into communication drafts, meeting preparation, etc. where appropriate.
- Handles incoming and outgoing calls, mail, guests, supplies, and receipt of packages and materials for the executive offices and responds to questions and/or requests in a professional manner.
- Supports annual Investor Day and Shareholder Meeting logistics and presentations.
- Supports logistics and presentations for conferences and road shows, investor tours and meetings, and conference calls.
Qualifications
- 10 years of experience in Executive Support or a related field.
- High School Diploma or General Education Diploma (GED) and/or commensurate experience.
