JOB TITLE: Assistant Facility Manager

SALARY $28.00-$38.50/Hourly
SUMMARY:
The Assistant Facility Manager plays an active role in the day-to-day maintenance and repair of facilities, working alongside the team to troubleshoot and resolve issues. This position combines hands-on technical skills—such as plumbing, electrical, HVAC, and carpentry repairs with administrative responsibilities like managing records, tracking inventory, and ensuring work orders are completed efficiently. The role is critical to maintaining a safe, functional, and well-organized environment while supporting the Facility Manager in supervising staff and daily operations. Proof of covid 19 vaccine is required.
DUTIES & RESPONSIBILITIES:
- Assist the Facility Manager in the training, scheduling, and supervision of all maintenance and custodial staff.
- Troubleshoots and repairs, includes light electrical and plumbing, HVAC, and carpentry.
- Responsible for all mechanical work on room turnovers and for work orders for occupied rooms.
- Manage work order system, reviewing and closing out work orders daily.
- Assist with the distribution of work orders to supervisors and staff.
- Maintain a monthly file system for work orders, invoices & superintendent schedules.
- Input all invoices and purchase orders for supplies and attach to appropriate work orders. Close out monthly to ensure vendors are paid.
- Prepare weekly and monthly reports regarding work order status and close outs.
- Responsible for monthly hardware, furniture and supplies inventory.
- Assist in the management of files, review timesheets and vacation requests.
- Assist with the development and maintain records for all building services
- Available for overtime, as needed.
- Other duties as assigned.
EXPERIENCE, EDUCATION AND SPECIAL REQUIREMENTS:
The ideal candidate is a skilled multitasker with experience working in fast-paced environments and a strong ability to manage both hands-on repairs and administrative tasks. They must possess excellent verbal and written communication skills, as well as proficiency in software like Excel, Word, Google Docs, and work order management systems. Prior supervisory experience is preferred, along with a comprehensive understanding of property management practices, technical maintenance, and building codes. Flexibility to work evenings and weekends is essential, and familiarity with Occupational Safety and Health Administration (OSHA) regulations is a plus.
