SUMMARY

The Analyst II-Total Rewards (Leave of Absence Management) is an intermediate level analyst role focused on the administration and analysis of employee leave cases, ensuring adherence to company leave policies, as well as United States federal and state regulations including but not limited to the Family Medical Leave Act (FMLA). This role involves detailed tracking and communication regarding leave durations, entitlements, and return-to-work processes. It also requires responding to employee inquiries and providing support to local HR business partners. In addition, this role will also be responsible for the ongoing management of the company’s Voluntary Benefits (VB) programs and introduction of any new VB programs from planning to implementation. Uses independent judgment and decision making to evaluate and make recommendations about leave plan and voluntary benefits administration. This is an individual contributor role with no direct reports.

DUTIES AND RESPONSIBILITIES

May include, but are not limited to, the following:

  • Develop and maintain comprehensive knowledge of the company leave policies and remain up-to-date on all relevant federal and state legislation that could influence the organization's leave administration policies and practices.
  • Ensures proper administration of the company’s voluntary benefits (VB) programs and implements any new VB program offerings.
  • Responsible for the daily administration of the company’s leave programs including, but not limited to: family medical leave, short and long term disability, military and parental leave, state specific leaves and vacation
  • Acts as the primary point of contact for the resolution of claims inquiries, assisting both employees and HR business partners.
  • Prepares and analyzes cost and utilization reports
  • Responsible for the review and audit of enrollment and eligibility data
  • Collaboratively engage with HRIS, vendors, and consultants to foster strong partnerships that enhance daily administrative processes for each plan, focusing on seamless integration files and comprehensive reporting. This includes building relationships and maintaining open communication channels to ensure effective and efficient plan administration.
  • Support the annual benefits enrollment process
  • Proactively collaborate with vendors, carriers, consultants, and other key stakeholders to support the ongoing development and refinement of communication materials.
  • Coordinate the drafting and preparation of certain compliance materials as required, including, Summary Plan Descriptions, Master Plan Documents and state leave notices
  • Responsible for regularly reviewing and updating content related to leave on the company's website.
  • Must maintain strict confidentiality and adhere to the Health Insurance Portability and Accountability Act (HIPAA) standards for protecting patient health information (PHI)
  • Provides training and support to on-site personnel
  • Supports other benefits programs, as requested
  • Develops and/or maintains administrative procedures for the duties of this position
  • Performs the primary thinking encompassed by this job description

  • Supports Company goals of continuous improvement and operational excellence at strategic and tactical levels including reviewing area of responsibility for improvement opportunities to initiate projects or communicate ideas to management
  • Active participation on project teams, as assigned
  • Performs any additional responsibilities or tasks, as assigned

EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • Bachelor’s Degree with three to five years of professional experience and knowledge of Leave of Absence administration is required.
  • General knowledge of laws/regulations pertaining to the leave of absence administration and other benefit administration in the U.S.
  • Possesses a propensity to independently conduct research and address problems or challenges in a timely manner
  • Excellent verbal and written communication skills within a business setting
  • CEBS or similar certification preferred
  • Advanced proficiency in computer operations and technical skills, with expertise in Microsoft Office applications (Excel, Word, and PowerPoint). Working knowledge of Workday or other HR Information Systems (HRIS) and benefits databases is strongly preferred.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stoop, kneel, or crouch. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

WORK ENVIRONMENT

The noise level in the work environment is usually moderate as normally based in an office. Some of the work may be required in the operating units which can require usage of required PPE including safety glasses, hearing protection, etc. May also result in exposure to outside elements and may require usage of stairs and elevators. Travel including air travel or auto travel may occasionally be required.
