POSITION SUMMARY : The Payroll Specialist is responsible for providing support to the Accounting Department by performing a variety of payroll and accounts payable duties. This role involves processing, recording, updating, analyzing, and reporting on payroll, employee expenses, and accounts payable information in compliance with established policies and procedures. The Payroll Specialist also assists employees with payroll-related inquiries while modeling our core values of respect, passion, and professionalism and holding others accountable to do the same.

ESSENTIAL FUNCTIONS :

Payroll Processing & Support (70%)

  • Process bi-weekly payroll for 700 employees using UKG, verifying information for accuracy and completeness.
  • Perform timesheet audits to detect missed punches, duplicate payments, and other timesheet errors.
  • Enter various earnings and deductions into pending pay.
  • Balance key totals to supporting documentation or reconciling reports to ensure accuracy of payroll.
  • Calculate retroactive payroll payments.
  • Review and set up wage attachments (tax levies, state / city liens, child support orders, and garnishments).
  • Adjust timesheets as required to make corrections.
  • Ensure LPOs (Leave Payouts) are processed accurately.
  • Perform year-end payroll processes, including 1099 and 1096 reporting.
  • Employee & Supervisor Support (20%)

  • Monitor and respond to emails in the payroll inbox in a timely manner.
  • Answer employee and supervisor questions regarding payroll and resolve issues.
  • Verify new hire status for accuracy and review checklist for consistency.
  • Generate various payroll reports relating to hours, earnings, deductions, and processing accuracy.
  • Compliance & Security (10%)

  • Ensure compliance with federal and state payroll laws / regulations.
  • Maintain confidentiality of payroll and accounts payable records.
  • Monitor payroll and accounts payable for errors, fraud, and policy adherence.
  • Ensure proper control over check stock, signatures, and distribution.
