POSITION SUMMARY:
The Graduate Enrollment Coordinator is a member of Westminster University’s Enrollment Management Division. Enrollment Management is a collaborative team committed to providing and supporting services that attract, enroll, and retain adult learners and graduate students. The Enrollment Management division seeks to offer a student-centered, service-focused, and innovative enrollment experience that supports the university’s strategic priorities. As part of these efforts, the Graduate Enrollment Coordinator manages recruitment strategies and initiatives specific to the enrollment of adult learners and graduate students to Westminster University. This position collaborates in the development, execution, and assessment of the strategic adult learner and graduate enrollment plans.
This role supports student success by recruiting dynamic and diverse adult learner and graduate student populations. It is required that the employee be on-campus, in-person, but occasional remote work is possible.
POSITION RESPONSIBILITIES:
Main Responsibilities:
- Effectively communicate Westminster’s mission and values to prospective adult learners and graduate students, including the benefits of a professional education within a liberal arts setting.
- Foster personalized relationships by providing a student-centered and service-focused admissions experience.
- Develop targeted or individualized communication plans that assist students through the admissions process utilizing phone calls, text messages, email campaigns, printed materials, and other available resources.
- Lead group information sessions, open houses, and meet one-on-one with prospective students and families.
- Assist students through the application process and in academic pre-advising to align with up-to-date program requirements and/or prerequisites.
- Review completed applications and support program-based admissions committees.
Community Engagement:
- Build a prospective pool of students through search, relationships, and community outreach. This includes making connections and fostering long-term relationships with colleges, non-profit and community-based organizations, and businesses to build partnerships and pipelines.
- Member of one of the Enrollment Management Action Teams contributing to the division's overall success.
Strategic Enrollment Implementation:
- Using quantitative and qualitative data to inform decision-making, shape and lead recruitment plans to align with institutional priorities in conjunction with faculty directors and program coordinators. Represent the Enrollment Management division, within the Westminster campus community, to contribute meaningful area expertise as it relates to recruitment planning and programming and serve as an admissions liaison with campus partners.
- Cultivate close partnerships with internal and external marketing to manage timelines, represent Westminster, and promote adult learner and graduate programs.
Campus and Divisional Engagement:
- Engagement in campus events and enrollment activities, including Admitted Students Day, New Student Orientation, and Commencement.
- Member of one of the Enrollment Management Action Teams contributing to the division's overall success.
Compliance:
- Actively contribute to enrollment and campus-wide compliance initiatives, including Student Consumer Information and other reporting requirements.
Additional Responsibilities:
- Provide support to the graduate admissions team .
- Supervision of assigned staff and/or student positions as detailed in the Supervisor Handbook.
- Considered essential personnel in cases of campus closure or emergency.
- May be designated as essential personnel in cases of campus closure or emergency.
- Other duties as assigned.
QUALIFICATIONS:
Minimum Qualifications:
- Bachelor’s degree and two to four years of higher education or other relevant experience.
- Goal-oriented and ability to develop new initiatives to improve enrollment operations and efficiencies.
- Strong belief in collaborative efforts within the enrollment management team and with other administrative and faculty areas, including providing support/ training to colleagues.
- Ability to adapt to changes in work environment where the workload, speed, and type of work varies throughout the admissions cycle.
- Commitment to providing a highly responsive and service-oriented admissions experience.
- Exceptional writing, communication, and interpersonal skills.
- Ability to work well with diverse populations in group and individual settings
- Ability to prioritize multiple tasks, demonstrate organizational skills, and meet deadlines.
- Demonstrated organizational skills and ability to coordinate programs, projects, and teams with high level of autonomy.
- Ability and willingness to accept constructive feedback in order to improve work performance.
- Willingness to stay engaged and aware of national trends in higher education.
- Desire to have fun in a professional team setting.
Preferred Qualifications:
- Experience in customer service and/or sales.
- Experience with enrollment management CRMs, preference given to those with experience working in Slate.
ESSENTIAL REQUIREMENTS:
- Valid Driver’s License: A current and valid driver’s license must be always maintained during employment.
- Proof of Insurance: The employee must provide and maintain proof of personal auto insurance that meets Westminster’s minimum coverage requirements.
- Mileage Reimbursement: Westminster reimburses mileage at the standard IRS mileage rate.
- Driving Record: Employment is contingent upon maintaining a satisfactory driving record as determined by a Motor Vehicle Records (MVR) check.
- Compliance with Laws: The employee must comply with all local, state, and federal traffic laws while performing job-related driving duties.
- Liability & Accidents: Employees must report any accidents, traffic violations, or license suspensions that occur while driving for work-related purposes. Employee is responsible for any expense related to traffic violations, or license suspensions that occur while driving for work-related purposes.
- Job-Related Travel Costs: Expenses related to tolls, parking, and other job-related travel costs will be reimbursed according to company policy.
ADDITIONAL POSITION DETAILS:
- Periodic overnight travel may be required.
- Regular travel throughout the year and/or at specified times of the year will be required.
- Extended hours, including evenings and weekends will be required.
- Valid driver’s license and successful DMV check required.
- Ability to climb, balance, stoop, kneel, and crouch required.
- Ability to regularly lift and/or move up to 25 pounds required.
