About Us: Dr. Aimee Polgar has been an established chiropractor on the westside of Cleveland since 2016. She is opening up a new clinic in Avon, Ohio. Job Overview: The Office Manager position is a full time role, responsible for overseeing the daily operations of our clinic. This role requires an energetic, organized, and reliable individual with a focus on excellent customer service. You’ll be the first point of contact for our patients, responsible for answering calls, texts, scheduling appointments, processing payments, maintaining a clean environment, and supporting administrative tasks.

Key Responsibilities:
- Customer Service Excellence: Serve as the first point of contact for patients via phone, email, and text; answer inquiries, schedule appointments, and provide information about services in a friendly and professional manner.
- Patient Scheduling: Manage patient appointments, ensuring optimal scheduling and minimal wait times. Coordinate patient follow-ups and reminders.
- Payment Processing: Take payments and manage billing inquiries in a timely and accurate manner. **We will be a cash/non-insurance based clinic, we will not bill insurance companies but will provide ways that our patients can get reimbursed directly.
- Technology & Software: Utilize clinic management software and systems to manage patient records, appointments, and payments. Comfortable learning new software tools as needed.
- Administrative Support: Perform office management tasks such as inventory tracking, maintaining patient records, and ensuring clinic supplies are stocked.
- Light Cleaning & Organization: Help maintain a clean, organized, and welcoming environment for patients and staff.
- External Marketing Support: Assist with local marketing and outreach efforts, such as attending events or helping promote our clinic on social media (if interested).
- Team Collaboration: Work closely with the chiropractic and wellness team to ensure efficient clinic operations and a positive patient experience.
Qualifications:
- Experience: Previous office or managerial experience, preferably in a healthcare, wellness, or customer service setting.
- Skills: Strong organizational skills, attention to detail, and ability to prioritize tasks effectively. Excellent communication skills, both verbal and written.
- Tech-Savvy: Comfortable using various software and office systems, with the ability to quickly learn new tools.
- Personality: Positive, upbeat, and friendly with a genuine desire to help others. Exceptional customer service skills with the ability to build rapport with patients and team members. Passion for health and wellness.
- Flexibility: Able to adapt to changing tasks and needs in a dynamic work environment.
