Event Manager, Westwood Country Club
Position Summary
Westwood Country Club in Rocky River, Ohio is seeking an experienced Event Manager, who will be responsible for coordinating banquets and events, including sales, planning, and execution of events. This is a hands-on role.
This position works in conjunction with the Assistant General Manager, Executive Chef and Dining & Bar Manager and reports directly to the Assistant General Manager.
Note: This is not a wedding or event planner or office position, this is a hands-on, working management position, if you are looking to be an event planner who does not manage the events, you need not apply.
Founded in 1914, the mission of the Westwood Country Club is to further the tradition of providing exceptional golf, recreational, dining and social experiences befitting our members and their families. Club facilities include a 37,000 square foot Clubhouse with formal and informal dining rooms and bars, patio, terrace and veranda dining, an elegant ballroom and other event rooms as well as a Fitness Center and Locker Rooms. Adjacent to the Clubhouse is a an Olympic Swimming Pool and Snack Bar, Tennis Courts, a Pro Shop, Historically, Westwood Country Club is known among the area’s clubs, high-end restaurants and resorts for its exceptional food and service and is considered the West Side of Cleveland’s Premier Country Club.
Essential Duties and Responsibilities
Meets and plans future catering events with members and guests including social and corporate events while effectively communicating all information to operational staff for proficient execution of each event. All events should be planned from start to finish in a uniform manner.
Provides tours of the facilities and discusses booking logistics, room options and menus with members and potential guests.
Meets regularly with the Food and Beverage department to review upcoming events and parties.
(BEO-Banquet Event orders) meeting; informs all necessary departments of any updates or changes.
Prepares in advance and distributes all banquet events orders specifications and validates that all contractual obligations are being fulfilled prior to the event.
Communicates any cancellations of events, new events, and last-minute changes to events with the food and beverage team.
Ensures that the service staff provides immediate and proper attention to the demands of each catering contract and/or member request.
Creates and maintain a good relationship with all members, staff members and managers by creating an atmosphere of friendly cooperation.
Provides outstanding service to our members and their guests in a professional and courteous manner.
Promotes the club to the membership for catering events.
Completes the necessary floorplans, seating assignments and timelines needed.
Completes and mails, emails or faxes all contracts and requested information to prospective clients in a timely manner.
Perform any other job-related duties as requested and to include assisting dining outlets and other departments as needed.
Requirements:
· Previous FOH experience.
· 2 years private club experience and or hotel experience.
· 2 years event management experience.
· 2 years catering sales or food & beverage management.
· Time management skills required.
· Previous experience with member relations helpful.
· Excellent communications skill: written and verbal required. Able to effectively communicate with internal teams as well as with members.
· Minimum 1 year supervisory experience. Must be able to lead and delegate work.
· Attention to detail required.
· Project Management skills helpful.
· Good interpersonal relations and possessing skillful listening techniques that will aid in the interpretation of the members wants and needs.
· Must be proficient in Windows, Microsoft Office, Company approved spreadsheets and word processing.
· Knowledge of F&B preparation techniques, health department rules and regulations, liquor laws and regulations helpful.
· Must be willing to work varying hours including holidays and weekends.
