POSITION : Human Resources Assistant

Position Overview :
Westwood Public Schools seeks a Human Resources Assistant to join our team in the district office. This position provides essential support to the Director of Human Resources and district leadership, assisting with talent management, benefits administration, compliance tracking, and HR programs. The HR Assistant serves as a primary point of contact for employees, applicants, and stakeholders while ensuring smooth HR operations. The ideal candidate will demonstrate strong organizational skills, attention to detail, technological proficiency, and the ability to handle sensitive information with discretion.
QUALIFICATIONS :
- Some post-high school education required; Bachelor's degree preferred
- Experience in K-12 education, human resources, or a related field preferred
- Strong verbal and written communication skills
- Proficiency in Google Suite (Docs, Sheets, Slides) and Microsoft Office Suite
- Experience with HRIS systems, (Powerschools Suite, Frontline, and ASPEN) preferred
- Ability to handle confidential information with discretion
- Strong problem-solving, organizational, and time management skills

RESPONSIBILITIES :
Talent Management & Recruitment
Track open positions and manage job postings on online platformsCoordinate recruitment efforts, including organizing applications, scheduling interviews, and preparing offer lettersMaintain applicant tracking systems (eg, PowerSchools Suite, Frontline , ASPEN), train internal users, and assist applicantsManage the onboarding process for new employees and the offboarding process for existing employeesMaintain digital and physical employee records from onboarding to separationTrack completion of mandated training and screenings for all staffManage the short-term substitute teaching workforceHR Operations
Serve as the first point of contact for HR inquiries, maintaining a professional and welcoming environmentHandle confidential correspondence and reports for the Director of Human ResourcesAssist with benefits administration and other HR programsSupport annual reviews of staff credentials, certifications, and renewalsManage graduate credit and tuition reimbursement processes, including salary adjustments and documentationMaintain HRIS and personnel records while ensuring data accuracyTroubleshoot performance issues related to PowerSchool Suite and Frontline softwareWork with the Data Specialist to complete all state reporting requirementsEmployee Engagement & Special Events
Assist in planning and organizing events such as the Professional Status Reception, Staff Appreciation Day, and Retirement ReceptionMaintain and update the HR Department website regularlySupport labor relations, including maintaining union-related documents and assisting with labor negotiationsSupport for Teaching and Learning
Assist the Assistant Superintendent in all aspects of tracking and payment for curriculum and instructional projectsAssist with organization and resources related to professional developmentOrder and distribute supplies related to curriculum and PD initiativesFamiliarity with licensure requirementsMaintaining seniority reportGeneral Administrative Support
Manage the Director of HR's scheduleGenerate and distribute form letters, emails, and other regular communicationsTrack budget expenditures and manage purchase orders (POs) for the Office of Human Resources and Office of the Assistant SuperintendentReview draft content for letters, presentations, and publicationsWork as part of the Human Resources and Central Office teams to support HR initiativesOrganize and maintain records, databases, and tracking systemsProvide administrative support to the Director of Human Resources and collaborate on special projectsAssist with administrative tasks and responsibilities as assignedPersonal Qualities
