Job Summary: Accountable for all accounting and bookkeeping responsibilities including but not limited to posting rent and NSF’s, filing evictions, walking moveouts, completing FAS’s, utility billing, weekly and monthly reporting and collection management, as well as touring and leasing apartments.
Supervisor: Property Manager
Hours: 40 hours per week
NOTE: Workweek will include weekends and may exceed the standard 40 hours.
Payroll Status: Generally Exempt, but could be non-exempt depending on the size of the property.
Required Qualifications:
- High School Graduate or Equivalent Training
- Valid driver’s license
- Two years leasing/marketing/operations experience
- Simple accounting procedures background
- Ability to do essential functions
- Understand and carry out oral instructions
- Read and carry out written instructions
Essential Functions:
Administrative - Accurately complete and submit daily, weekly and month-end closing reports within specified time period; accept payments and process for deposit; collect all delinquent rent; access, input and retrieve information from the computer; proofread all lease paperwork on new leases and renewals. Responsible for maintaining files in an organized fashion. Utility billing and collection. Responsible for filing and Doc Management uploads accordingly. Process and verify rental applications. Maintain a former residents Collection Report or other system to accurately work and track former resident debt and payments through in house collections and the Collection Agency.
Resident/Prospect Relations - Greet and qualify prospective residents. Professionally describe and demonstrate property features to generate an acceptable sales closing ratio. Must present fresh, professional and well-groomed appearance. Must be able to respond to requests from residents as well as following up on service requests to ensure that each was completed satisfactorily and in a timely manner. Represent the Property Manager in their absence with decision-making capabilities.
Leasing - Assist the Manager in ensuring that all leasing staff have completed all daily items which are listed in the job descriptions. This includes making sure that models and vacant show units are open, clean and ready to show, all common areas are open, refreshments ready, golf carts ready and clean, desks stocked and supplies necessary to lease apartments are on hand before the office is opened daily.
Unit & Property Readiness – Walk vacant/show units regulary, and touch up clean accordingly utilizing a sparkle bucket. Touch up cleaning and wipe downs could include vaccuming, and removal of trash in show units and common areas.
Marketing - Responsible for the completion of the weekly market study. Must also gain comprehensive knowledge of market, especially direct competition, and report to the Property Manager any new property developments in the market. Responsible for continued contact with locators. Assist with weekly and daily social media posts and marketing efforts.
Other - Skill in using standard office equipment including, telephones, computers, scanners, bank scanners and photocopying equipment. Must be able to access, input and retrieve information from the computer. Ability to meet deadlines and skill in attending to detail. Follow all safety procedures and notify supervisor of safety hazards. Deliver notices to residents. Conduct monthly property walks. Must maintain and pass all assigned Learing Management System classes.
Physical Functions: Standing, walking, climbing, talking, hearing, seeing, writing, driving and ability to withstand normal environmental conditions both inside and out throughout the year.
