Position Summary: |
|
Coordinates the insurance, project, and work order processes to maintain visibility and control in each area. The role requires basic analytical and technical skills. Additionally, the position requires the ability to communicate with the constituents in each process.

Qualifications

Insurance: Administer the insurance programs
- Prepare and provide information to the insurance broker and companies as requested
- Prepare annual application for insurance renewal
- Investigate insurance claims to document the facts of the claim and prepare the insurance submission
- Interact with insurance broker for coverage matters like certificates of insurance.
Project Proposals: Coordinate the process for submitting and processing project proposals
- Understand the process and required documentation for project proposals.
- Communicate the process and requirements to staff members requesting projects.
- Compare project proposals to the budget and provide to management.
- Provide completed project proposals to management for evaluation.
- Report on the status of project proposals.
Approved Projects: Maintain and process records for approved projects
- Create budgets for approved projects and track spending compared to the project.
- Review and process invoices for project work including coding invoices and tracking project codes.
- Track progress to project schedule.
- Produce periodic reports on the status of projects and their important variables.
- Coordinate post project evaluation.
Eptura: Administer Eptura system and data analysis
- Systems Administrator for the Eptura maintenance work order system.
- Create work order reports to assist management.
- Ensure maintenance requests are entered into Eptura.
- Assist with the evaluation of work order entry and completion.
Fleet Management: Maintain records on all Wheeler vehicles
- Maintain registrations, insurance, and titles
- Coordinate maintenance of vehicles

MINIMUM QUALIFICATIONS:
Education/Experience:
- HS/HSE
Required Knowledge Areas for Success:
- Detailed oriented
- Good understanding of excel
- Basic verbal and written communication skills
- Willingness to learn technical skills
Technical/Software Knowledge:
- Proficient in Microsoft Office; Excel, Word, Outlook
- Knowledge of Eptura or work order system preferred, but not required
Mission Alignment:

Physical Requirements: To perform the essential job functions of this position, a candidate must be able to:
- Work in an office setting exclusively on a computer with the potential of sitting for long periods of time
- Type and operate standard office equipment
- Perform normal business activities with the endurance to remain standing for long periods of time
- Occasionally lift products and supplies up to 30 pounds
- Must be able to work outside in adverse weather conditions
Other Requirements for Employment
- This is a full-time 40-hour position, with flexible work hours. Normal work hours are 8 a.m. to 5 p.m. Position is eligible to work from home.
- Must have a valid Driver’s License, reliable personal transportation, and insurable by WM’s auto insurance carrier.
- Travel is primarily local during a business day with travel to WM Bloomington facilities as required.
