Job Description
- Demonstrate a positive, professional, and client-oriented attitude about the company with coworkers, tenants, clients and the public whether contact is by mail, telephone or in person.
- Facilitate property projects across the portfolio.
- Establish and maintain collaborative working relationships between departments, with coworkers and particularly with other members of a project team.
- Mentor and assist Property Management Assistant and Property Managers with their daily roles and properties, including coordinating coverage / support of properties when out of the office.
- Constantly strive for efficiency in work process and results to better meet client's expectations.
- Manage tenant relations and coordinate requests for repairs and maintenance, lease issues and other tenant concerns.
- Prepare the properties, where applicable, and facilitate support to tenants and vendors during any natural or socioeconomical disasters.
- Complete periodic site visits and document quarterly property inspections in the required software.
- On assigned properties, act as the company’s primary coordinator to assure that the company’s efforts fully meet and exceed contractual property management obligations.
- Act as a liaison for company during all legal proceedings.
- Represent ownership at promotional meetings of merchants.
- Act as a company liaison for any local governance and work to cure any government deficiency, where applicable.
- Manage the day-to-day activities of loss prevention, risk management, safety/security, maintenance, landscaping, snow removal, parking lot sweeping, tenant build-out and other shopping center operations.
- Develop operating income/expense budgets and capital budgets that reflect the owner's objectives for operating the property.
- Coordinate the activities related to each property capital improvements and promptly process all tenant improvement allowance requests.
- Develop and maintain each property’s 5-year Capital Plan.
- Collaborate with other departments within the company to provide a team approach to the management of real estate.
- Administration of budgets, operational review and analysis of corrective action needed.
- Recommend and implement programs that contribute to center profitability.
- Manage, review, and administer License Agreements pertaining to any ancillary income opportunities as well as property related right of entry needs.
- Complete monthly variance reporting identifying causes and forecast of variance on property related expenses. This also includes consistent review of each property’s annual expenses to achieve the company’s key performance indicator of a positive Same Store Net Operating Income (SSNOI).
- Analyze lease clauses pertaining to Landlord obligations and timeliness to complete common area work, while enforcing tenant required compliance.
- Interface with internal leasing team and assist to assure spaces are in lease ready condition for prompt lease/re-lease and coordinate marketing vacant spaces that are kept show ready at all times.
- Issue Delivery of Premises Certificates and Open for Business Memorandum for full execution and upload / distribute to required internal stakeholders as required by the Company’s Standard Operating Procedures (SOPs).
- Maintain up to date records of current space conditions including roof, HVAC, utilities and other items as necessary.
- Coordinate marketing of vacant spaces and keep them in show ready condition at all times.
- Maintain complete and accurate property files and records, according to department systems.
- Provide prompt, detailed and accurate general status reports on all properties assigned and supply requested information as needed during company audits.
- Engage, contract, supervise and approve invoices for all goods/services required to maintain the properties up to company and owner standards. Include necessary backup documentation with invoices in Company’s accounts payable system.
- Manage billbacks for tenant related expenses when needed.
- Develop a network of vendors who are available for emergencies and are available 24-hour, 7 day a week as needed.
- Supervise on-site maintenance mechanics, if utilized at assigned properties.
- Assist in managing tenant upfit work and coordinate access to the property for contractors, as needed or assigned.
- Develop specifications and continually evaluate service needs and performance in all areas of maintenance and management.
- Prepare expense approval forms and submit to responsible parties for approval.
- Regularly approve property invoices and complete travel reimbursement and credit card reconciliation.
- Forecast and manage replacement of major capital expense items including HVAC system, roof systems, parking lot surfaces, etc.
- Audit property related utilities to identify correct general ledger coding and to reduce slippage.
- Attend and be engaged in all required and recurring meetings.
- Adhere to company’s Sarbanes Oxley (SOXs) compliance controls, as required.
- Maintain, establish, conduct, and report all required environmental audits and internal files.
- Facilitate and support any required procedures for any property dispositions and/or acquisitions.
- Respond to all required lender notices and complete property related work where necessary to ensure compliance to Loan Agreements.
- Assist or support Lease Administration and/or Collections Team for tenant open accounts receivables balances.
- Complete peer reviews of new Lease Profiles which includes the completion of supporting documentation, as necessary.
- Be able to reference and understand property related documents such as ALTA surveys, PCA reports, REA agreements, zoning reports, etc.
- Well versed in property building systems with excellent industry related construction knowledge.
- Maintain working knowledge of the latest technologies, systems and procedures related to property management.
Experience, Requirements and Core Competencies
- Solid Computer skills with proficient knowledge of Microsoft Office Suite, and commercial management related industry platforms.
- Experience in a fast-paced environment preferably Real Estate.
- Ability to multi-task several projects across multiple properties.
- Detail-oriented person with excellent analytical skills.
- Strong communication skills and ability to build internal and external relationships.
- Ability to work with little supervision and to seek help when needed.
Qualifications and Education Requirements
- Bachelor’s degree or equivalent work experience.
- At least 8 years of experience in commercial property management. Courses in real estate completed.
- Certified Shopping Center Manager, Certified Property Manager, or Real Property Administrator credentials preferred and/or willing to obtain.
- Active Real Estate Salesperson License or greater preferred.
